EveryMind is hiringa Staff Accountant, Payroll to join our Finance team. This role is responsible for processing payroll and performing various accounting functions under the direct supervision of Finance Director.

ESSENTIAL DUTIES AND RESPONSIBILITIES: 

  1. Prepares and processes payroll through Paycom database on a semi-monthly basis in accordance with the established payroll processing schedule.
  2. Meets with the assigned Human Resources employee to review the payroll for accuracy prior to running each payroll.
  3. Ensure proper documentation for all changes entered payroll.
  4. Review reports from Paycom for accuracy and verify against semi-monthly and monthly spreadsheets. .
  5. Work with the other Staff Accountant-Cash to make sure Payroll and Payroll taxes are funded in the payroll account.
  6. Prepare 401k contributions transfer sheet.
  7. Prepare monthly payroll reconciliation.
  8. Submit monthly insurance invoices to COO for approval. Reconcile benefit deductions with the bills, identifying discrepancies and proposing corrective actions.
  9. Review tax rate schedules, tax filings and any tax notices and correspond with the Paycom Tax Service as necessary.
  10. Calculate and record a variety of manual and express payroll checks (i.e, overtime, anniversary, special duty payment, bonus, etc.).
  11. Assist with Workman’s Comp audits, and 401k audits.
  12. Respond to and process all payroll-related inquiries (including written requests from federal and state agencies, garnishments, etc.) the payroll service bureau and any other requests for information as necessary.
  13. Maintain the payroll files and payroll data. Ensure that data is secure using appropriate established procedures.
  14. Prepares and enters journal entries for all cash related to payroll, 401k transfers,
    1. Employee loan repayments.
    2. Prepares and enters journal entries required to adjust the financial accounts assigned.
    3. Supports the outside audit staff with the preparation of schedules and any related work necessary in connection with the year-end audit.
  15. Support accounts payable staff for month-end close and other related work
  16. Manage special projects as assigned by accounting manager.
  17. Perform other duties as assigned.

Qualifications


Education:

  • Bachelor’s degree in accounting, Business, Finance, or related field

Experience:

  • 2 years of accounting experience.
  • Working knowledge of tax laws and GAAP. Good organizational, administrative, and human relations skills and the ability to handle confidential records with discretion.
  • Strong communication skills, both written and verbal.
  •  Proficiency in Microsoft Office, particularly with Excel.
  • Ability to work with little to no supervision.
  • Ability to analyze and reconcile general ledger accounts. Ability to multi-task, meet deadlines.
  • Experience in Paycom is strongly preferred.
  • Proficient with accounting software such as Abila.

Excellent time management skills with a proven ability to meet deadlines. Strong problem-solving and analytical skills with the ability to develop alternatives and solutions. Ability to prioritize tasks and delegate them when appropriate. Ability to act with integrity, professionalism, and confidentiality. Proficient with Microsoft Office Suite or related software.

Abilities:

Effectively interact and work collaboratively in a flexible work environment with a variety of constituents including CEO, board members, clients and family members or caretakers, interns, volunteers, paid staff, and community partners. Ability to express ideas with clarity, confidence, and sensitivity. Must be able to maintain confidentiality involving clients in accordance with organizational and federal guidelines. Familiarity with working and hiring interns and volunteers. Able to supervise multiple people.
