Coordinates With: Customers, Service Technicians, Service Staff

JOB SUMMARY: MSI seeks a Service Dispatcher to be able to multi task, able to do and listen to several things at one time; ability to receive and transmit radio and telephone communications; ability to communicate effectively both verbally and in writing, must have working knowledge of computers and electronic data processing; must have a working knowledge of current office practices and procedures; ability to read maps and find locations, ability to work under stressful situations.

ESSENTIAL FUNCTIONS:

  • Assigns Service Technician work orders, orders material parts, records time off
  • Informs Service Technicians what assignments need to be completed at each job
  • Organizes the Service Technician's work load, issues and approves purchase orders
  • Coordinates services resources. Orders materials, lines up subcontractors and inventories tools.
  • Inputs project location into system. Verifies account set-up, active, site, and to bill customer.
  • Generates work order documents, dispatches technicians, and notifies customers of ETA/status.
  • Responsible for customer interaction/satisfaction
  • Interacts and communicates with all HVAC Field Technicians & Supervisors to assign/dispatch HVAC Technicians
  • Complete calls and updates dispatch screens
  • Maintains customer satisfaction by investigating concerns, routing them to assigned staff, and responding to special requests.
  • Responsible for generating, interpreting and printing various assigned reports.
  • Assists with Service billing as needed.
  • Performs duties that are not listed on the job description but assigned by the Service Manager and Office Manager.
  • Flexibility to work overtime as required.

QUALIFICATIONS:

Education and Experience:

  • High School Diploma
  • 2 or more years of HVAC customer service or HVAC dispatching/estimating experience.
  • Communicates effectively using appropriate interpersonal skills in person and on the phone.
  • Read and understand written instructions. Maintains records and prints legibly.
  • Steady employment history and no unexplained gaps of employment.
  • Outstanding team player, customer service skills and attendance.
  • Energetic, adaptable, self-motivated, and excellent organizational skills.
  • Excellent integrity, attention to detail and ability to follow policies and procedures.
  • Excellent computer skills (Excel, Word, Outlook, PowerPoint).
  • Excellent Leadership, spoken and written communication skills.
