WHAT IS THE ROLE?

Our Bookkeeper and Finance Administrator is an integral role within the organization, responsible for maintaining accurate and comprehensive financial records and accounting processes while also managing financial administrative duties.

Our ideal candidate is an energetic and organized person, excited at the opportunity to help shape a brand and company from the ground up. We are looking for a detail-orientated, motivated teammate with a range of experience in financial administration and accounting support within a consumer retail or hospitality brand. This hybrid position requires someone who thrives in a fast-paced environment and team.

WHAT WILL YOU BE DOING?

This role will have two (2) main areas of responsibilities:

1. Perform Financial Accounting Duties to Run Our Venues:

· Assist in the preparation of tax documents, primarily fulfilling 1099 related tasks.

· Maintain accurate and up-to-date financial records.

· Manage accounts payable cycle; track and record invoices, prepare payments, and perform reconciliations and manage vendor relationships.

· Daily management of bank reconciliation process.

· Prepare financial reports and statements as requested by leadership.

· Review and process reimbursement expense reports, resolving any discrepancies as needed for accuracy and efficiency.

· Provide general clerical support such as filing, scanning, and organizing documents.

· Assist with monthly, quarterly, and yearly closing procedures and reconciliation.

· Collaborate with the Finance team during annual audits, providing necessary support.

2. Provide Financial Administrative Support

· Manage our credit card expense administration and reporting via American Express

· Manage our T&E expense administration and reporting via Concur

· Assist with general office administrative tasks and support

· Assist in general financial administrative tasks such as, but not limited to mailing checks, handling tax inquiries, 1099s, W-9s, and vendor issues/requests

WHAT WE’RE LOOKING FOR?

· Proven experience in a Bookkeeping & Administrator role

· NetSuite or Quickbooks experience preferred, but not required

· Proficiency in MS Office (Outlook, Word, Excel and Teams)

· Excellent time management skills and ability to multi-task and prioritize work

· A creative mind with an ability to suggest improvements

· Ability to maintain confidentiality of sensitive information

· Excellent communication skills for interaction with with all levels of employees, guests, vendors, and leadership.

· Detail-oriented approach to maintain accurate financial records.

· Ability to adapt and prioritize tasks in a dynamic work environment
