JOB DESCRIPTION

Title: Elementary Student Records Secretary

Department: School Site Office

Immediate Supervisor: Site Principal

Job Goal: Maintain accurate and timely student records for the school site while representing the district in a positive way to students, staff, parents, and the overall community.

 ESSENTIAL DUTIES AND RESPONSIBILITIES:

  1. Process online registrations for enrollment including verification of residency requirements and collection of all identity and immunization information for each student.
  2. Review and post annual updates and administer utility bill verifications for continuing enrollments.
  3. Process withdrawals and transfers of students.
  4. Maintain accurate student cumulative files and facilitate the transfer of files for students promoting to middle school each school year.
  5. Request and obtain records for students who are new to the school and prepare and send records as requested for exiting students.
  6. Review and process portal change requests as submitted through the Infinite Campus parent portal.
  7. Answer the telephone in a pleasant and efficient manner and route calls and messages accordingly.
  8. Respond to parent inquiries regarding infinite campus account registration and password reset needs.
  9. Maintain accurate class rosters and balanced class sizes.
  10. Provide timely and accurate class counts as requested by the Edmond Public Schools Administration Center (EPSAC).
  11. File annual testing and report card information for all students.
  12. Welcome visitors to the school and monitor usage of the School Safety kiosk in support of a safe learning environment for students.
  13. Educate parents on safe drop-off, dismissal, and other transportation procedures specific to the school site and communicate transportation changes as needed to teachers.
  1. Operate two-way radio to contact custodian to respond to cleanliness and/or safety concerns as they arise.
  2. Monitor and authorize use of the student telephone.

Discretionary Job Functions (As needed basis as determined by site administration):

  1. Support safe dispensing of authorized student medication and maintain medication authorization files under the direction of the assigned school nurse.
  2. Assist with administration of AESOP for the substitute needs of the school.
  3. Provide support for entry of attendance information.
  4. Provide support for dismissal and end of day procedures as office traffic requires.
  5. Prepare and update emergency binders with student and household information.
  6. Responsible for basic first aid for sick or injured students; taking temperatures, calling parents as needed and completing appropriate documentation including accident reports.
  7. Assist with free and reduced lunch applications.
  8. Maintain copier and office equipment functionality and assist parent volunteers with use as needed.
  9. Compile homework assignments as requested.
  10. Sort and distribute inter-office and U.S. mail.
  11. Monitor students sent from class for discipline.
  12. Maintain student insurance and accident report files.
  13. Clerical duties as requested by the administration.
  14. Other duties may be assigned.

Length of Contract : One hundred ninety-five (195) contract days. Salary commensurate with experience on the negotiated agreement of the Support

Employees of Edmond (SEE).

Evaluation: Performance of this job will be evaluated by the Principal in

accordance with the provisions of the Board's policies, state law, and the negotiated

agreement with the Support Employees of Edmond (SEE).

Student assistants.

QUALIFICATION REQUIREMENTS:

EDUCATION AND/OR EXPERIENCE:

High School Diploma or General Education Degree (GED).

CERTIFICATES, LICENSES, REGISTRATIONS:

LANGUAGE SKILLS:

Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups, staff, parents, and the general public.

MATHEMATICAL SKILLS:

Ability to plan budgets and use the mathematical skills required to do so. Maintain accurate records and support documentation for projects under the supervision of the position.

REASONING SKILLS:

Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.

OTHER SKILLS AND ABILITIES:

Ability to use computer and computer related programs and other technologies needed to perform essential job functions. Ability to apply knowledge of current research and theory. Ability to establish and maintain effective working relationships with students, staff, and the community. Ability to organize and chair or facilitate committees and meetings. Ability to communicate clearly and concisely both in oral and written form. Ability to perform duties with awareness of all district requirements and Board of Education policies.
