Department Overview
Operations is comprised of two separate departments, each with distinct roles and responsibilities to ensure the proper delineation of duties. The Settlement and Funding Team is responsible for the pre-closing process including deal and fee structure, trade activity, document management, KYC and settlement coordination. Portfolio Administration is responsible for the booking of deals, daily servicing activity such as payment processing, advances and rate resets, as well as the maintenance of referential data. Operations plays a paramount role in the data integrity of the investment portfolios. Our teams collaborate closely with various groups within the Firm including the Front Office, Treasury, Tax and Fund Accounting.
Position Responsibilities
The Portfolio Administrator position is a critical component of the back office operations of Golub Capital. This person will control and manage a portfolio of 50-70 active credit facilities. This role ensures the coordination of timely settlements on syndicated loan trades and traditional private transactions. This position serves as the liaison for both borrowers and investors by responding, resolving and expediting inquiries, discrepancies and special requests.

Primary duties and responsibilities include:
  • Monitor and process daily activity on bank loans such as trade settlement, draw downs, pay downs, interest payments, principal payments, PIK loans, skim payments, agented deal transactions, internal transfers, manual interest calculations, fee calculations, interest adjustments, cash reconciliation, book transfers and wires
  • Review new deals on MarkIt WSO
  • Prepare billings and payoff letters for the Borrower
  • Prepare weekly team and departmental activity reports in addition to past due reports
  • Provide operational support to Managers, Analysts, Debt Team and Treasury Team as needed
  • Attend deal closing meetings as necessary for proper handling and disbursement of fees
  • Consistently meet high service level commitments to clients and management
Candidate Requirements
Qualifications & Experience:
  • Undergraduate degree in relevant subject (accounting or finance preferred but not required)
  • At least 5 years of relevant experience in all varieties of loan servicing including agency services and funding responsibilities ideally within the financial services industry (e.g. Private Equity, Leveraged Finance or Hedge Fund)
  • Expertise in Excel, Wall Street Office "WSO" or similar application is strongly preferred
  • Proven ability to analyze credit agreements and related documentation for accuracy and booking terms

  • Settlements Process: Understands the process of funding and settling trades and other agreements. Ensures accuracy in documentation and works with various parties to carry out the process.
  • Portfolio Administration: Manages daily processing related to agented and non-agented deals (e.g., rollovers, advances, credits, wire requests) for a portfolio and ensures cash is reconciled with loan accounting group.
