Description

Since 1987, Eagle Fire Inc has evolved into a best-of-class provider of fire sprinkler systems, fire protection, life safety services, special hazards systems, fire alarm services, access control systems, fire protection systems management, and fire extinguisher sales and service in support of the commercial, industrial, government, and mercantile facilities.

Our company is actively growing and needs an HR Administrative Specialist to assist our HR Business Partner in Knoxville, TN, and handle administrative tasks for the HR department as a whole. 

Position Summary:

Plays a key role in providing centralized support for Human Resources related programs, policies, processes, and systems. Helps ensure HR services are delivered efficiently and according to established timeliness and compliance standards.

Duties & Responsibilities:

  • Monitors shared departmental email inbox and/or phone line and directs inquiries received to the appropriate HR Business Partner, Talent Acquisition Rep., and/or Payroll Team Members. Inquiries may include things such as: status change forms, unemployment notices, wage verifications, benefits enrollment or coverage questions, new hire onboarding documents and more. 

  • Serves as the point of contact and administers all Criminal Background Check, Drug Testing, and Motor Vehicle Records Check processes for the Company.

    • Vendor Relationships

    • Administers both corporate and field operations programs.

    • Sets up pre-hire drug testing, background checks, and MVRs.

    • Receives results and communicates to Talent Acquisition, HRBP, Safety Mgr., and/or Leadership as applicable.

    • Saves/files results in the established location.

    • Receives invoices ,reviews for accuracy, and submits to Accounts Payable for processing.

    • Administers the company’s random drug testing program.

    • Orders and distributes oral swab drug testing kits to company locations.

  • Enters new hire data and Team Member change information in the company HRIS as required.

  • Completes the E-Verify process for new hires.

  • Creates, maintains, and dispositions electronic Team Member files/folders.

  • Provides additional new hire onboarding assistance to the Talent Acquisition Team including but not limited to:

    • Day 1 orientation scheduling.

    • Ordering company credit and/or fuel cards.

    • Ordering/sending welcome gifts.

    • Requesting/receiving new hire email address and network access credentials. 

  • Assists with registering and tracking Team Member professional licenses and certifications as needed.

  • Maintains company calendar with key activities.

  • Coordinates Team Member engagement events as needed.

Knowledge & Experience:

  • 2 yrs. of previous Human Resources administrative and/or Executive Assistant experience.

  • Strong MS Office (including Excel) abilities. 

  • Prior experience working within HR systems or similar databases is preferred.

  • Ability to multitask and organize multiple projects in a fast-paced environment.

  • Self-starter and ability to work both independently and as part of a broader geographically disbursed team.

  • Bi-lingual in English/Spanish is a plus.

Education:

  • High School Diploma/GED required.

  • Post-high school education and/or professional certifications in job related disciplines a plus.

Physical Requirements:

  • Must be able to sit for long periods of time.

  • Must be able to use a telephone, computer and other office equipment.
