Duke University seeks applicants with an interest in medicine and science, strong editing skills, and exceptional attention to detail to serve as PUBLICATIONS SPECIALIST for the American Journal of Transplantation. The American Journal of Transplantation is the official journal for the American Society of Transplantation and the American Society of Transplant Surgeons, and its editorial office is located at Duke University. Work will entail projects directed toward enhancing the operations of the journal particularly as they relate to improving the efficiency of publication and enhancing the process of peer review. The applicant will work closely with the Managing Editor to provide editorial support for the journal. The person in this position will work closely with other staff to meet deadlines and achieve departmental goals.

Role Description:

Coordinate and participate in a variety of editorial and preproduction activities required in preparing the journal and other initiatives for publication; develop and/or prepare various other publications and printed materials and provide general editorial assistance to the Managing Editor.

In addition to providing support for the AJT editorial office, approximately 10% of job will entail providing editorial assistance to the Office of the Vice Chair for Research in the Department of Surgery

Daily Tasks:

  • Process new and revised manuscripts per AJT guidelines, policies and standards through the submission system, this may include formatting, and light editing of submitted manuscripts.
  • Preparing manuscripts for production, confirming that all necessary elements of the manuscript are in-house and correctly formatted, permissions are in order, and images are usable
  • Communicate with authors and Editor-in-Chief as required and resolve any problems with the submission process.
  • Create social media schedule along with the Managing Editor and post and monitor the journal’s social media sites (for now - Twitter,) and maintain journal social media statistics and report to Managing Editor.

Monthly Tasks:

  • Occasionally provide support is copyediting and proof reading AJT articles and journal issue.
  • Co-ordinate the publication of AJT highlights (Monthly Podcast)
  • Work with AJT medical illustrator and manage the publication of Visual Abstract.

Annual Tasks

  • Assist Managing Editor with conference related tasks which may include preparing reports and presentations, coordinating AJT awards process, arranging editorial board meeting, and reaching out to editors for annual editorial board turnover.
  • Should be willing to travel especially for annual ATC conference. Conference travel expenses will be paid by the journal.

Qualifications:

  • This position requires a Bachelor’s degree or equivalent in journalism, English, with at least two years of editorial experience, especially in a journal, preferred.
  • Experience in copy-editing and proof reading preferred
  • Knowledge of Microsoft Office suite (Word, Excel, and PowerPoint) and Adobe Acrobat
  • Familiarity with web-based applications and social media (Facebook, Twitter, Instagram, LinkedIn, and HootSuite)
  • Experience with Editorial Manager online submission system

Minimum Qualifications

Education

Work requires the ability to perform skilled and creative graphic arts functions generally acquired through an associate's degree in graphic or commercial arts or a related field.

Experience

Work generally requires three years graphic arts or related experience OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE to acquire considerable knowledge of and skill in complex design, layout, and commercial arts methods and techniques and an ability to analyze and interpret art needs of various publications and communications programs. A bachelor's degree in graphic or commercial arts or a related field may be substituted for experience on a 1:1 basis.
