Occupational Summary
Plan, implement and coordinate activities related to specific development programs. This position will provide an advanced level of direct administrative support to three Development Directors in the Pratt School of Engineering. This position will handle administrative duties, which include but are not limited to, arranging meetings, travel and events, recording gifts and pledges, drafting high level correspondence and briefings, conducting research, as well as providing technical and logistical support to the directors. This position will also work cooperatively with other Development Associates within the Office of Engineering Development and Alumni Affairs. This position will serve as program coordinator for the Pratt Parents Circle as well as the Pratt Board of Visitors meetings.

Work Performed

  • Provide administrative support in the planning and implementation of programs that are aligned with development strategies. Serve as lead program manager for Pratt BoV meetings.
  • Plan and implement appropriate activities for development, particularly as the lead for the Pratt Parents Circle program; receive and respond to requests for information and assistance from alumni and donors; contact alumni to request assistance in matters pertaining to development; participate in the identification, recruitment, and training of alumni committees. 
  • Prepare development material to include writing and editing proposals, promotions materials and other materials for publication such as training aides, newsletters, summary articles, etc.; maintain liaison with appropriate service components for production. 
  • Support the Director of the Annual Fund and Pratt’s major and principal gift team to include the writing of letters and the coordination special events. 
  • Maintain liaison with other development staff, public relations personnel and other related areas to minimize duplication of efforts. 
  • Set up and maintain varied office files of records, reports and correspondence required for reference and efficient operation of office. 
  • Maintain Directors calendars including scheduling internal /external meetings, alerting the Director to important dates. Prepare and/or provide necessary documents for Director’s use in meetings. Attend meetings as requested to take minutes.
  • Draft a wide variety of written materials including detailed individual prospect briefings, letters and internal and external correspondence. Gather information from faculty, administrators, academic units, and other colleagues to support the development of gift proposals.
  • Develop the criteria, initiate the requests and follow up on reports required by the Directors. Verify the data and proof financial and fundraising reports after receipt. Research and investigate gift commitments using office files and the database and prepare reports. 
  • Assist in the tracking of major gift proposals, endowment agreements and contact reports. Use the moves management database to enter moves and solicitations and check the accuracy of reports consisting of moves management data.

Perform other related duties incidental to the work described herein.

Required Qualifications at this Level

Experience: Work requires one year of experience in fund raising, alumni affairs, public relations, student activities, program administration or a related field to become familiar with activities involved in planning special events or programs.
