Occupational Summary
The Duke Graduate Medical Education (GME) Professional Development Coaching Program Senior Program Coordinator position will serve as part of the operational leadership team to provide technical, fiscal, and management oversight for the activities program.
The GME Professional Development Coaching Program works with medical residents,chief residents and fellows, during the course of training to provide opportunities for career and professional development. The program includes one on one coaching by volunteer faculty coaches, as well as group coaching from certified professional coaches. The goal is to support workforce capacity and trainee well-being during the challenges ofvphysician training. The program works with departments and divisions across the School of Medicine (SOM), requiring excellent interpersonal and organizational skills. The program is expanding into new departments and divisions in the SOM.
The Sr.Program Coordinator will coordinate and oversee programmatic and administrative activities to meet overarching aims and objectives across the expanding initiatives of the GME Professional Development Coaching Program.
Work Performed
This position will work closely with the Director and Associate Directors in the development and administration of activities and programs. The Sr. Program Coordinator will interact with other Duke faculty, staff, and administrators within the School of Medicine related areas to ensure coordination and synergy of efforts between various offices, programs, and initiatives.
Primary responsibilities include:
  • Establishing and maintain Coaching Program operational workflows for activities to facilitate communications within the team and between the team and participating entities.
  • Regular monitoring and reporting on program progress and metrics of the Coaching Program
  • Ensuring coordination of efforts between various offices, programs, and initiatives by serving as the primary program liaison.
  • Assisting with marketing and communication of Core program activities and offerings, including administration of website content.
  • Assisting in the preparation of budgets, proposals, reports, and applications and preparing administrative reports.
  • Communicating regularly with Coaching program leadership of ongoing activities, identifying potential operational problems, making initial recommendations to handle issues, and overseeing implementation of solutions.
  • Overseeing the planning and execution of programmatic and educational events and activities.
  • Working with DPHS administration to order and maintain sufficient inventory of supplies and equipment.
  • Serving as liaison with other Duke administrative personnel concerning budgets and coordination of programmatic activities.
  • Support Coaching Program Director in their adjacent roles including assisting with tracking receipts and clearing purchases, providing formatting and design edits to supporting documents, and providing faculty development support for the Department of Population Health Sciences (Vice Chair of Faculty Development role).
Required:
  • Strong skills in communication and coordination.
  • Skills evaluating program performance, summarizing findings, analyzing results to identify strengths and weaknesses and alternative solutions to problems, and forming an action plan.
  • Knowledge of business and management principles involved in strategic planning, resource allocation, human resources modeling, leadership technique, and coordination of people and resources.
  • Intermediate or advanced use of standard Microsoft Office products needed.

Minimum Qualifications
Education
Work requires analytical, communications and organizational skills generally acquired through completion of a bachelor's degree program.
Experience
Work requires three years of experience in program administration or OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE involving academic, instructional or counseling activities to acquire skills necessary to plan, coordinate and implement a variety of program activities and events.
