TITLE: Administrative Support Specialist - Operations JOB STATUS: FLSA Overtime Eligible REPORTS TO: Chief Operating Officer DEPARTMENT: Business Operations PAY RANGE: Five (5)
POSITION SUMMARY: To assist and relieve administrative supervisor(s) of paper work and impediments utilizing efficient methods through the use of technology so that he/she may devote maximum attention to the central problems of the Department of Business Operations.
JOB QUALIFICATIONS:
A high school diploma or training and experience that are considered equivalent.
A good knowledge of word processing, database, spread sheet, filing, and operation of common office equipment.
A knowledge of good telephone communications.
A courteous and pleasing personality.
Three to five years successful experience as a secretary preferred.
Such alternatives to the above qualifications as the Board of Education may find appropriate and acceptable.
ESSENTIAL DUTIES:
Prepares schedules and contracts for all building rentals.
Maintains accurate schedule of events held in all buildings year round from contracts.
Uses word processing equipment to prepare a variety of material, such as letters, reports, memos, monthly student menus, etc.
Places and receives telephone calls, and records messages.
Maintains a schedule of appointments for the department as applicable, and makes arrangements for conferences and interviews.
Processes all correspondence and RFP’s, and maintains all files for the department as necessary.
Processes all invoices and inputs requisitions for the department as required.
Processes timesheets for all custodians, cooks, grounds, warehouse and maintenance employees.
Prepares payroll deviation reports as required.
Ensures the safety of students.
Establishes and maintains cooperative professional relationships.
Remains free of any alcohol or nonprescription controlled substance and abuse of any prescribed controlled substance in the workplace throughout employment in the district.
Exhibits professional behavior, emotional stability, and sound judgment.
Serves as a role model for students in how to conduct themselves as citizens and as responsible, and intelligent human beings.
Understands the legal responsibility to help instill in students the belief in, and practice of, ethical principles and democratic values.
Maintains confidentiality and respect for confidential information at all times.
Other duties as assigned by the Superintendent or his/her designee.
TERMS OF EMPLOYMENT: 261 days (251 work days and 10 paid holidays); 8 hours per day, excluding lunch; number of days of vacation, holidays, and salary as determined by Negotiated Agreement. Work year to be established by the Board.
