About Us: First United Methodist Church is a vibrant and welcoming Methodist community committed to spreading love, faith, and compassion. We are seeking a dedicated Office Manager to join our team and lead efforts to manage our office first point of contact within and beyond the church walls.

Primary Role of the Office Manager:

The Office Manager serves as the first point of contact with the congregation and visitors coming to the church during business hours and provides administrative support to the Pastor and to various church committees. As such, this position plays a vital role in carrying out the mission of the church: To connect people with God, to build a welcoming and inclusive community that serves our neighbors through actions of justice and love, and to develop disciples of Jesus Christ.

The Office Manager reports to the Senior Pastor and is evaluated by the Senior Pastor and the Staff/Pastor-Parish Relations Committee (SPRC).

Office Manager Minimum Qualifications:

1. Possess excellent written and verbal communication skills and the ability to interact with all levels of staff, committees, and membership.

2. Ability to operate all office equipment independently, including but not limited to telephone, computer, copier/fax, and publishing equipment.

3. Proficient in Microsoft Word, Excel, Outlook, PowerPoint, and Publisher and the ability to learn any other necessary software programs.

4. Excellent attention to detail, organization, and priority management is essential.

5. Ability to manage multiple tasks and projects simultaneously.

6. Basic accounting skills and knowledge of bookkeeping procedures.

7. Possess strong administrative skills and the ability to work independently without supervision.

8. Additionally, must be able to pass a criminal background check.

Office Manager Duties and Responsibilities Include:

Receptionist:

9. Receives and greets congregational members, visitors, and businesspersons during business hours of the church office, answers and directs phone calls to appropriate staff.

10. Relays information from congregational visitors and others to the Pastor and other church officers and committee members.

11. Receives and directs members of the business community who are performing services at the request of the church, (i.e., repair service persons).

Correspondence Duties:

12. Receives and processes mail and other incoming materials.

13. Prepares weekly Sunday service bulletins. Responsible for collecting appropriate information from the Senior Pastor, Music Director, and others for inclusion in the bulletin. Edits announcements and calendar information in the bulletin. Responsible for all word processing, layout, proofreading, duplication, folding and collating of the bulletin.

14. Prepares the church newsletter. Responsible for collecting information, word processing, editing, layout, duplicating, folding, and mailing or other appropriate distribution of the newsletter.

15. Prepares correspondence for the Pastor and other church officials.

16. Updates and maintains the content displayed on the electronic sign.

Administrative Support:

17. Maintains the church calendar. Tracks all meetings and events in the church building and by church groups and posts to master calendar. Publishes church calendar in the bulletin, newsletter, and on the website.

18. Processes requests for use of the church building and facilities and passes information on to Pastor and appropriate committees. Schedules room use for groups and events.

19. Reports to appropriate committees and to Pastor any necessary building repairs or upkeep needs that come to the attention of the office.

20. Provides data from church databases and other sources of information to the Pastor and other church officials as requested.

21. Prepares any necessary reports, such as annual reports for Charge Conference and Annual Conference, as needed.

22. Provides membership services, to include tracking visitor information, preparing visitor follow-up letters, maintaining address and phone numbers, preparing sign-up sheets for various activities, and other such duties as needed. Maintains church membership records. Prepares certificates for baptism, membership, weddings.

23. Records worship and Sunday School attendance.

24. Orders supplies as needed for the office, the Pastor, and others as needed.

25. Provides necessary secretarial support as needed for Sunday and special worship services.

26. Processes requests and collects fees for monthly church parking customers.

Financial Support:

27. Accurately records weekly contributions.

28. Manages all aspects of contributions: preparation of deposits, data entry and posting of contributions, and quarterly statement generation.

29. Applies memorial contributions and sends thank you notes for these donations.

30. Manages all aspects of church parking lot donations.

31. Prepares and mails quarterly giving statements.

32. Maintains petty cash with accurate records and receipts.

33. Manages payables including data entry, posting of payables and generation of checks.

34. Assists with payroll by checking the timecards for accuracy and verifying hour calculations.

35. Completes filing.

36. Other duties as assigned by Finance Manager.

This listing does not limit the duties and responsibilities of the Office Manager. Other duties and responsibilities, either temporary or permanent, may be assigned as needed.

Other Duties and Responsibilities Include:

  • Responsible for informing the Senior Pastor of any planned extended absences as soon as possible, preferably at least two weeks in advance.
  • Attend and participate in staff meetings as needed.
  • Participate in semi-annual one-on-one meetings with the Senior Pastor.
  • Participate in an annual evaluation conducted by the Pastor/Staff-Parish Relations Committee which is reported to the Church Council.
  • Abides by the Employee Handbook as provided by the FUMC.
  • A background check will be completed.
  • Work hours are 8:00 a.m. to 4:30 p.m. Monday to Friday with ½ hour lunch.

Benefits:

1. Pay is $38,500 to $45,500 annually (dependent on experience).

2. Benefits include Medical (optional).

3. Vacation and Sick Leave, including Holidays.

4. Continuing education time and costs to be negotiated, as needed.
