POSITION SUMMARY

The Program Coordinator will support all departments and teams by performing various event management and administrative duties. This role will work independently, yet collaboratively, to ensure the smooth operation of various programs and events, contributing to the overall success of our organization. This role deeply enhances employee and customer experience, fostering a positive and uplifting environment.

HUMAN RESOURCES

  • Identify opportunities to enhance employee engagement and satisfaction.
  • Collaborate with HR to organize employee appreciation events, team-building activities, and wellness initiatives.
  • Responsible for content, production, and distribution of the Company newsletter.
  • Compile and maintain a monthly birthday/anniversary list to coordinate and oversee all monthly employee celebrations - birthdays, luncheons, and anniversaries.
  • Assist with producing internal communications, events, and activities to keep employees informed and engaged with the business.
  • Assist the Director of HR as the backup to travel management.
  • Organize and create new hire onboarding orientations.
  • Oversee the break room by stocking items, cleaning the coffee maker, and making popcorn.
  • Receives, sorts, and distributes incoming daily mail.
  • Order office supplies.
  • Establish and maintain files and manage such records and files so they can be efficiently and easily retrieved.
  • As needed, assist with front desk coverage, and review and update the employee telephone extension list.

INTERNAL COMMUNICATIONS AND SUPPORT

  • Coordinate events for the “Customer Visit Program” by organizing and communicating with visitors on flight schedules, airport transportation, hotel/dinner reservations, evening activities, and meeting agenda topics.
  • Plan, organize, and execute various internal and external events, including meetings, workshops, and social gatherings.
  • Coordinate event logistics, including venue selection, catering, audiovisual equipment, and guest accommodations.
  • Coordinate event agendas, timelines, and promotional materials to ensure successful outcomes.
  • Lead organization, upkeep, set-up, and inventory of meeting rooms and training center.
  • Assist with the preparation of training materials for sales and technical training sessions.
  • Oversee onsite event coordination, manage registration, greet attendees, and address any issues or concerns that may arise.
  • Evaluate event success and gather feedback for continuous improvement.
  • Manage the promotional items program for both internal and external customers. Select items, monitor inventory, and request replenishment's as required.
  • Support the marketing team in daily marketing tasks, including lead follow-up, literature, and fulfillment of promotional item orders.

GENERAL RESPONSIBILITIES

  • Support continual compliance with ISO 9001 standards and procedures.
  • Maintain a positive work atmosphere by acting and communicating in a manner that allows you to get along with customers, clients, vendors, co-workers, and management.
  • Comply with any/all company safety and health rules and policies and promote safe work practices. Report any safety concerns to the supervisor/manager.
  • Ensure compliance with departmental guidelines and company standards.

EXPERIENCE

  • Two years post-high school education or at least three years of related field experience.
  • Ability to handle multiple and varied projects to meet deadlines.
  • Proven experience in administrative support, event planning, and project coordination
  • Meet deadlines without compromising the quality of work.
  • Proficient with Microsoft Office Suite and other software programs.
