Employment Type: ContractLocation: South San Francisco, CAAs an Administrative Coordinator, you provide analytical and specialized administrative support to relieve and assist executive, administrative, line and staff managers of complex details and advanced administrative duties.What you'll be working on

Key Activities / CapabilitiesDescriptionCalendar ManagementManage complex scheduling, in multiple time zones, various levels of internal and external stakeholdersManage the scheduling of project / departmental workshops (onsite, offsite)Meeting / Event ManagementLead the coordination & execution of small Internal/team workshops/meetingsLead the coordination & execution of project workshops which can include up to 200 participantsCoordinate workshop logistics including (but not limited to) booking conference rooms, hotel rooms, ordering food, assisting with travel arrangements, agenda developmentArrange all meeting needs (AV, catering, meeting materials, special room set up, etc)CommunicationsSend communications on behalf of someone (complexity may vary)Email team(s) informing of meeting times, events, etc. (operational communications)Manage communications for day-to-day team operations, including changes in policies, processes, department reminders (e.g. handling of gifts, etc.), team agreementsBusiness OperationsGo to PersonSubmit Facilities, IT/Site Services requestsSupport centralized office supplies process (as defined for the site)Possess general knowledge of available IT systems, (ex: cSuite, virtual collaboration tools)Support special projects and execute research and data analysis tasks

Financial ManagementManage invoices and accrualsRaise/process purchase orders (POs)

Relationship ManagementServe as the internal and external face/liaison of the team and act appropriately and professionally.

What you’ll need to be successfulAt a minimum, have a high school diploma and equivalent industry experience (preferred)Previous related administrative, operations or project support experience (experience gained in pharmaceutical/biotechnology industry is preferred)Collaborative mindset, support team development, seek all relevant or useful information for the team, willing to contribute and assist others in the dept as needs ariseAbility to handle and exercise judgment and discretion concerning sensitive, confidential and proprietary information with guidance as requiredDemonstrate accuracy and attention to detail of own and other's workGood planning skills and ability to self-organize/set up prioritiesAbility to handle routine and impromptu assignments with minimal supervisionKnowledge of the cSuite (including gMail, gCal, gSheets, gSlides, Trello, Jamboard, gMeet, ZOOM)Skilled and knowledgeable in available tech meeting platforms in conference rooms and virtual (in room tech, Google Meet, Zoom, global webcasts, VCs)

Job Type: Contract

Pay: $17.00 - $22.00 per hour
