Our company is looking for a Logistics Administrative Assistant Specialist that is well organized, goal oriented, and has excellent communication skills with all levels of employees to join our in-house agency team. In this role you will be working directly with the Senior Project Manager.
Logistics Administrative Assistant (full time) is responsible for order fulfillment from inception to delivery for large chain customers. This person will communicate with independent sales representatives, internal and external logistic partners as well as internally working with the billing, warehouse, purchasing and art departments. Must pay attention to detail regarding customer requirements for shipping and receiving of the purchases.
JOB REQUIREMENTS
· Review and process client POs (orders).
· Plan and execute the transportation of goods from our building to the final destination by following the guidelines provided to us in the Client’s Routing/Vendor Guides. Each client will have a different set of guidelines to follow and we work with multiple logistics and transportation companies.
· Responsible for reading through Vendor and Routing guides and adhering to customer shipping requirements regarding product labeling, packing and shipping.
· Create custom carton/shipping labels according to client guidelines.
· Work with internal departments to coordinate order fulfillment and shipment.
· Update and maintain daily logs tracking all internal orders along with the arrival of custom product and provide a status update on arrivals and delays. Delays must be communicated to Senior Project Manager on a daily basis.
· Create Bill of Ladings based on specifics stated by the client’s guidelines.
· Update/input product information into customer portal/spreadsheet.
· Upload pricing and descriptions pre-billing.
· Review all invoices against original PO prior to shipment for accuracy.
· Create custom packing slips as necessary.
· Assist the Senior Project Manager with daily tasks and projects that may include but not limited to updating spreadsheets with inventory, putting together spreadsheets for analysis, sending out samples, and updating internal summaries for Vendor Guides from various companies.
SKILL REQUIREMENTS
· MUST be proficient in MS Excel
· Works well under tight deadlines in a fast-paced environment
· Works well alone or in a team environment
· Must be able to adapt to changes
· Effective problem-solving skills
· Customer Service back ground a plus but not needed
· Extreme Attention to Detail is a MUST
· Proficient in MS Office Suites
· Data entry and light analytics
