Job Summary

We are seeking a dedicated and passionate Sales Coordinator to join our exceptional team at a competitive pay rate from $16-20/HR DOE including benefits (PTO, Vacation, Holiday and Health Insurance) for Full-Time associates.

The Sales Coordinator’s responsibilities include but are not limited to performing sales, clerical, administrative and other duties to assist in the smooth operation of the Sales Department.

Essential Functions

• Provide support and assistance to the sales team in executing contracts, proposals, and correspondence
• To provide prompt and professional response over the telephone, in-person or through correspondence to all inquiries regarding the hotel’s facilities.
• Answer and screen the sales and catering phones
• Check for availability for banquet events for the client on sales pro
• Log In all Sales Phone calls on sales pro
• Type BEO's, print and send to client, upon approval by Sales Director
• Print Reports on Sales Pro
• Make individual reservations when the call comes through the sales & catering department and email confirmation to the client
• Input Group Block in PMS system
• Input Group Reservations under the block in PMS system
• Send Rooming List update to client when needed
• Log in Deposits on sales pro and in PMS system
• Create Booking Links for Group Business
• Create Booking Link for LNR
• Track Pick up for groups and be able to communicate to the client when asked by the client
• Create Flyers and special packages for Group/Catering Business when needed
• Create advertisement for the hotel on social medias when needed
• Be able to show the client the meeting space and or guestrooms when Sales Manager/Director are busy with other clients
• Put Sales Kits together
• Assist with putting goodie bags as giveaways for the Sales Managers for the sales appointments
• Keep track and order all supplies for the sales, catering and the GM office
• Keep track of priority points that are being given to clients and be in charge of giving points to the clients when necessary
• Coordinate special Gift Giveaways/Cards to clients for the Sales Managers/DOS during the holidays/b-days and other special occasions
• Respond to Emails when Sales Managers/DOS are out of town - when necessary
• Make sure all filing cabinets are organized
• Assists in other administrative tasks as needed
• Assist with sales efforts in soliciting new business
• Assist with site inspections
• Assist with related sales functions
• Prepare and send out direct mail projects, sales packets, and collateral
• Comply with attendance rules and be available to work on a regular basis.
• Perform any other job-related duties as assigned.

Job Requirements

• High School diploma or equivalent and/or experience in a hotel or a related field.
• At least one year of progressive experience in a hotel or related field.
• College course work in related field helpful.
