General Job Information

Job Summary

This position is located in the Office of Campaign Finance (OCF), Office of the Director. The mission of OCF is to preserve the confidence of the public in the integrity of the District of Columbia Government, and to ensure trust by administering and enforcing the District of Columbia laws pertaining to the Traditional Campaign Finance Program, the Fair Elections Program, and the Constituent Service and Statehood Fund Programs.

This position serves as the Administrative Support Assistant responsible for assisting the Operations and Policy Officer with monitoring and tracking agency financial expenditures throughout the budget execution phase.

The incumbent will participate in monthly audits of the agency Petty Cash Fund to account for the funds and expenditures made to reimburse employees for business-related purchases.

Duties and Responsibilities

Maintains and assists with processing employees’ time and attendance records for payroll.

Records the receipt of fines imposed by the agency and forwards the funds to the OCF Financial Manager.

Prepares Quarterly Agency Certified Business Enterprise (CBE) reports, and monthly expense reports in the District Integrated Financial System (DIFS).

Requests quotes and creates requisitions in the DIFS, processes agency’s Virtual Private Network (VPN) requests and line transfers, and forward requests to OCF Financial Manager for the approval of funds.

Requests and arranges for the disposal of property with the Department of Public Works.

Maintains agency Petty Cash Fund and Purchase Card. Maintains the OCF Standard Operating Procedures for all Divisions, the OCF Policy Manuals, and the OCF Administrative files.

Assembles and organizes facts, data, and information on programs as background for the OCF Budget meetings, hearings, briefings, and reports.

Composes correspondence on own initiative of a general nature, based on notes and oral instructions, such as letters of transmittal, personnel actions, training documents, travel papers, and administrative reports.

Qualifications / Education

Specialized experience is experience which is directly related to the position and has equipped the individual with the knowledge, skills, and abilities to successfully perform the duties of the position.

To be creditable, the incumbent must possess at least one (1) year of specialized experience equivalent to the next lower grade level in the normal line of progression.

Specialized experience includes basic understanding of office policies, procedures, and organizational functions. General knowledge of administrative support requirements pertaining to the maintenance and processing of time and attendance records, travel vouchers, inventory and purchase records, personnel records, and other related human resources materials.
