MAJOR DUTIES AND RESPONSIBILITIES
Types a variety of narrative and tubular material such as correspondence, reports, bulletins, statistical tables, records, etc., having one or more of the following characteristics:
1. Use of technical and specialized terms requiring accuracy in spelling and syllabification which may necessitate reference to dictionaries, textbooks, reports, manuals or similar material;
2. Non-specialized terminology requiring the use of wide variety of formats with responsibility for assuring the propriety of form and arrangements required by style manuals or the use of judgment in originating form, spacing, and arrangements, and preparation of material in final form;
3. Statistical or other tubular material requiring independent determinations regarding form and arrangement when numerous headings and sub-headings are present;
4. Selection, rearrangement or consolidation of data from a number of source documents based upon instructions indicating only the general nature of the end product or objectives to be achieved.
B. Clerical
1. Answers telephone and greets visitors. Refers callers or takes messages for return call. Answers inquiries pertaining to items where information is readily obtained from files and records. Initiates telephone calls or contacts staff members to obtain specified materials or information.
2. Sets up or maintains a variety of established office files arranged by subject, number, data or organization. Codes, cross-references, and indexes material added to the files and establishes new file headings as required. Searches office files for material based upon general information as to subject and for misplacements.
3. As instructed, composed some routine correspondence such as transmittals, requests for specific information and replies to simple inquiries where the information requested is readily available within the office.
4. Receives and checks recurring reports and various standard forms to assure that all items are properly completed and that the necessary copies and signature are present. Contacts originating office by phone to request missing data of copies or returns documents for resubmission depending upon established procedures and the nature if the discrepancy. Posts data to summary cards or control records from documents processed through the office, and as required, compiles current reports and records maintained and may include arithmetical computations.
5. Performs various miscellaneous tasks such as preparing requests for supplies, equipment, and office services through established channels, making travel arrangements and typing travel vouchers; maintaining established logs and records; operating quick copying devices; keeping time and attendance reports; drawing charts and graphs as required.
SUPERVISION RECEIVED
Works under general supervision of Business Management Officer. Performs duties according to established procedures. Receives instructions for new or unusual assignments. The supervisor or another employee is available for guidance on unforeseen difficulties that arise from work in progress, but the incumbent is expected to consult standard reference books, manuals, dictionary, etc., independently. Completed work is reviewed for accuracy, appearance, and compliance within instructions and established procedures.
V. QUALIFICATIONS REQUIRED
A. Graduation from high school and completion of course in typing and arithmetic.
B. Facility in the English language, including grammar, spelling, punctuation, etc.
C. Not less than two (2) years of general office and typing experience, including experience in typing of tables and charts,

The incumbent is required to use personal computer hardware, software, printer, typewriter, calculator, copier, scanner, and fax machine
