Project Administrator (Operations Success Manager)

Job description

The Project Administrator (also referred to as Operations Success Manager) will be responsible for assisting the project team with documentation, job cost accounting, scheduling, payroll, and construction material management efforts. In addition to operational support, the Project Administrator will drive FX FACILITY GROUP’s efforts with nonprofit organizations, coordinate team events, and initiate Marketing efforts in collaboration with FXFG’s Marketing Specialist. Success in this role requires comfort taking on many tasks requiring various skills, while appropriately prioritizing those tasks to completion.
Essential Functions include but are not limited to the following:
General Operational Support:
  • Manage timely submission of payroll
  • Create and manage change orders (CO’s) in Procore.
  • Assist Operations and AP with PO issues, PM issues, credits, etc.
  • Ensure operational expenses are completed thoroughly and timely.
  • Initiate close-out for jobs. Make certain all committed costs are cleared, POs are closed and forward to accounting for follow up.
  • Attend Project Meetings for records, meeting notes, and manage follow-up items.
Field Team & Marketing Support:
  • Assist PM's and Field Foreman with submittals (coordinate and keep accurate logs).
  • Distribute approved submittals to PM, Foreman, vendors, etc.
  • Coordinate operation and maintenance manuals for approval by owner.
  • Write PO’s with PM's direction. Update PO’s as needed.
  • Obtain local certifications, licensing, and permits in an organized fashion.
  • Set up out-of-town accommodation for jobs and certifications requiring travel.
  • Maintain files for credits returned and work with AP/vendors to ensure proper credits.
  • Track tools and equipment for asset management and billing purposes.
  • Assist field foreman in ordering material and supplies.
  • Maintain records and receipts for petty cash purchases.
  • Assist Client Success with documentation of site meetings.
  • Collaborate Marketing efforts with Marketing Specialist.
  • Lead support efforts with non-profit organizations.
Education and/or Work Experience Requirements:
  • Must have effective communication skills both written and verbal.
  • Have good organizational skills.
  • Be detailed-oriented.
  • Ability to work with and maintain confidential information.
  • Working knowledge of Word, Excel, and Outlook.
  • Experience in or aptitude to learn various software and programs driving operational processes (Great Plains, Procore, MobileTech, Adobe, Microsoft Project, etc.)
  • Strong work ethic and able to work independently.
  • Experience in Construction projects a plus.
