Job Description:


Summary/Function:

The Customer Reporting Supervisor provides support for both the associates and Manager including training of employees within the department, supervision of associates and working in conjunction with the Manager to maintain policies, procedures, and manuals. This position also maintains client account information including cost basis reporting for all accounts, support of performance reporting, and participates in the client statement production and distribution process, provides security master assistance and assists with security pricing, and provides branch support.
Experience and Skills:

Qualifications:
  • Tax experience or knowledge of how tax lots are affected by reorganizations a plus
  • Prior experience working in an office setting
  • Ability to operate various office machines (fax, copier, adding machine, PC etc.)
  • Strong background in Microsoft Word, Excel and Access
  • Strong math skills
  • Detail oriented
  • Strong writing skills
  • Follow policies and procedures. Maintain client confidentiality.
  • Communicate in a clear and service oriented manner. Use appropriate, professional language and grammar to effectively exchange ideas and information.
  • Ability to proactively work with both external and internal clients. Relate with others in a professional manner in order to accomplish work responsibilities and objectives.
  • Ability to maintain regular, predictable attendance.
Duties:
Level 1
  • Maintain client cost basis information on the cost basis reporting system in accordance with IRS cost basis regulations
  • Research and update cost basis, transferring both internally and externally
  • Manage daily report monitoring and updating as needed
  • Monitor the transferring of cost basis and update client accounts; work on internal and external client transfers, including but not limited to, ACAT and Non-ACT transfers
  • Achieve a basic knowledge of the client statements and confirms.
  • Achieve a basic knowledge of securities and security master.
Level 2
  • Assist in the maintenance and monitoring of Performance Reporting.
o Works with: Wealth Management, vendors
o Level of Responsibility: Medium
  • Participate in the production and processing of the monthly client statement. Maintain security pricing, perform price research and follow the pricing policy; as well as review and submit maintenance requests to vendor on security master and maintain the firm security master data.
o Works with: Wealth Management, pricing vendors (Thomson, Interactive Data, Bloomberg), statement vendor (Broadridge), Supervisor/Manager
o Level of Responsibility: High. Pricing securities and maintaining the accuracy of this information requires significant attention to detail and knowledge.
  • Answer client statement, confirm and performance reporting questions.
o Works with: Wealth Management, Operations departments
o Level of Responsibility: Medium
  • Review and interpret tax consequences of reorganizations and other corporate actions in conjunction with the Managed Assets department.
o Works with: Wealth Management, BETA, Reorg Department, Managed Asset Department, Vault (certificates), and outside firms to agree to how reorg should be run.
o Level of Responsibility: High, this responsibility area involves multiple levels of communication beginning with Wealth Management, but also communicating with other firms in our BETA region regarding how to run the reorg but also communicating if needed with the Managed Assets, Reorg Department and the Vault.
Supervisor
  • High level of proficiency in Level 1 and 2 duties and ability to train on all responsibility areas in the department.
  • Provide supervision and assist department staff in higher level, complex questions or research requirements.
o Works with: Customer Reporting Associates, Operations staff, Wealth Management
o Level of responsibility: High, this level of questions can be very complex and detailed. May have very high impact and requires good decision making skills
  • Provide backup assistance in the absence of the department manager
o Works with: Across firm
o Level of responsibility: High
  • Have a higher level knowledge of trade confirmations, securities and security master including identifying security types and managing the firm security master data; being able to answer more complex security questions including confirmations.
o Works with: Across firm
o Level of responsibility: Medium
  • Be able to complete Performance Reporting reconciliation on a monthly basis including activating and deactivating accounts and proving support to vendors in the reconciliation.
o Works with: Manager, outside vendor, Wealth Management
o Level of responsibility: High, performance reporting can involve very complex reviews including understanding of security master, activity/trade history, and performance in general.
  • Be able to manage the monthly statement process with assistance from department manager, working with IIG and outside vendor to complete the monthly production of statements.
o Works with: Wealth Management, pricing vendors (Thomson, Interactive Data, Bloomberg), statement vendor (Broadridge), ITWeb team, AS400 Programming, Manager
o Level of responsibility: High, requires significant attention to detail and knowledge of the statement process; also requires monthly project planning.
  • Be able to manage the monthly pricing process with little direct supervision.
o Works with: Wealth Management, other Operations departments, pricing vendors (Thomson, Interactive Data, Bloomberg), statement vendor (Broadridge), Manager
o Level of responsibility: High, the pricing of securities directly impacts client’s statements and performance reporting.
  • All other duties as assigned.
