Creating Pathways Pediatric Therapy is Hiring a Receptionist Near Salem, OR

Come join our dynamic and supportive team! We are looking for an Intake Receptionist who is passionate about helping children and families on "their pathway through life.

We are a therapist owned company that is passionate about providing quality Speech / Language and Occupational Therapy to children ages birth to 18 years.

Job DescriptionReferral Management : Referral processing : building charts, checking benefits for Medicaid patients, and calling to scheduling initial evaluations for new patients to the clinic.

Manage sending and tracking intake paperwork in FormDr, and calling / coordinating with families and referrals sources.Scheduling : schedule initial evaluations in a timely manner once intake process and insurance verification have been completed.

  • Send intake forms to new referral families within 48 hours of referral receipt.
  • Manage evaluation waiting lists and coordinate with department manager for clinical triage.
  • Follow up with families on referral form, coordinate with office staff to upload forms to prepare for evaluation and coordinate scheduling of initial evaluations.
  • Report out weekly at team meetings on referral status for each discipline specifically for documenting new referral sources, referral numbers.
  • Coordinate with interpreters as needed to schedule initial evaluations.
  • Performs back-up reception desk coverage as needed during busy times or influx of patients or based on staffing and business needs.

Insurance Verification (Medicaid) :

  • Collecting key demographic and insurance information and contacting insurance companies to verify coverage and benefits.
  • Obtaining prior authorization for services, acting as the liaison among the child’s physician, insurance company, and family to obtain all required information / documents to ensure timely and accurate authorizations.
  • Maintaining meticulous records of all interactions / communication with the child’s family and the insurance company.Data Entry & Billing Support :
  • Data entry of insurance company remittances to assure accuracy of patient accounts.
  • Contact patient Guarantors to collect on outstanding account balances.
  • Oversee EOB / EOP processing under supervision of Billing and Financial Administrator.
  • Submit billing twice daily under supervision of Billing and Financial Administrator.
  • Send out monthly invoices to families on amounts due for services and call / follow-up as necessary.
  • Coordinate with collections department as needed under supervision of Billing and Financial Administrator.
  • Post insurance and patient payments promptly, no more than 24 hours of receipt.General Intake Duties and Responsibilities
  • Communicate effectively with family, staff and other customers with diverse backgrounds and belief systems. Respect and maintain staff and patient confidentiality.
  • Know and support the strategic plan, mission, and values of Creating Pathways.
  • Prioritize workload especially during increased referrals or during times of unexpected workload variances.
  • Function as part of collaborative interdisciplinary team : participate in problem solving, present suggestions for improvements, and research / share best practice information to improve the quality of care and services delivered.
  • Protects clients’ rights by maintaining confidentiality of personal and financial information, following all HIPAA rules.
  • Explains cancellation / no show policy to families upon referral or in collaboration with reception.
  • Responsible for requesting new referral if requested by site manager following clinical triage.
  • Participating in weekly intake team meetings to ensure coordination and team-building among Intake staff.
  • Performing various clerical work that includes filing, copying, and faxing.
  • Calls and tracks care plans for recent evaluations, adds patients to waiting list, and manages waiting list to schedule patients for ongoing open appointment times in collaboration with clinic manager and receptionist.
  • Other duties and responsibilities as assigned.Customer Service, Marketing & Patient Satisfaction :
  • Customer service : Creates a safe and comfortable environment. Demonstrates caring behavior. Ensures effective and efficient work process.

Provides clear and relevant information. Provides a prompt, reliable response.

  • Shepherding each family through the intake process with a relentless focus on customer service and satisfaction, updating families at each step of the process.
  • Make timely contacts with the client / family upon inquiry or referral; share program information, and clearly explain services available.
  • Collect key information for the program intake process and assist families in answering questions.
