The Atlanta Journal-Constitution, a leading metro news organization with a rich journalism history, seeks a Director of Administrative Operations.
The AJC's mission is to be the most essential and engaging source of news and information for the people of Atlanta, of Georgia and the South. To achieve that mission, we will transform ourselves from a storied daily newspaper into a modern media company.
The Director of Administrative Operations will oversee a host of critical internal responsibilities, including the management of vendors, contracts and non-employee resources, along with maintaining our offices and facilities.
The Director will report into the Chief Operating Officer and work with the COO to build processes around identifying and integrating vendors, contractors and freelancers that allow the AJC to efficiently onboard these resources and capitalize on these important relationships. He/she will also develop and implement reporting protocols, processes and databases to give visibility into the status of contracts and non-employee workers and serve as a valuable internal resource for AJC leaders and staff members looking to tap into these resources.
Additionally, the Director of Administrative Operations will partner closely with the Executive Assistant team leader in support of standardizing and facilitating org wide processes and operations.

In This Position You Will
  • Manage vendor contracts by implementing processes for securing vendors, overseeing contract review processes, executing on integrating their services and providing regular status updates for our 100 vendor contracts.
  • Create and lead processes to expertly and efficiently onboard vendors through existing Cox protocols and new AJC paths to be established.
  • Centralize documentation and reporting around Vendor statuses to produce clear, accessible outputs for immediate visibility into the business.
  • Run Business Continuity Planning by planning for and executing on specific scenarios that may arise onsite, including building emergencies or systems outages (separate contingencies and redundancies needed for print and digital scenarios). Build detailed plans that include process definition, escalation processes, communications strategies and contingencies
  • Oversee facilities management including parking, space usage, and security. Build relationships with landlords and the Cox Properties team to execute on making our offices safe and well-functioning
  • Lead efforts to secure and manage non-employee resources for 300 contractors and freelancers. Create and lead processes to expertly track our successes and shortfalls in utilizing these resources, ensuring proper classification and documentation within our databases
  • Ensure backend non-employee onboarding processes are created and put in place so workers are supported and integrated seamlessly into operations led by business leaders and functional partners
  • Serve as internal expert and resource on how employees can navigate multiple types of resources across the AJC and Cox
  • Oversight of AJC policies and practices. In some cases define and documenting new policies.
  • Manage the Office/Facilities IT team and the management of computers and connectivity across the AJC and in partnerships with Cox. In addition, this role manages external IT vendors as needed to support Office/Facility AJC IT needs.
  • Partner closely with the Executive Assistant team leader
Qualifications
  • Bachelor's degree with 10 years of experience managing a complex organization's operations and at least 5 in a leadership role OR MS with 8 years of experience; Ph.D. with 5 years of experience OR 14 years with no Bachelors.
  • Experience with databases and project management software
  • Proven success in establishing and improving operational elements in a cross-functional environment
  • Highly organized and process-oriented, meticulous with a keen eye for detail
  • Excellent communication and negotiation skills, with experience partnering with senior level managers
  • Ability to adapt to, prioritize, and handle multiple responsibilities all at once
  • Self-motivated leader who can perform well within tight deadlines and work in a fast paced, high pressure environment
  • Strong critical thinker who can confidently challenge colleagues and express skepticism when appropriate
  • Strong team-building and leadership skills, with an ability to inspire and motivate team members while organizing workflow by meeting staffing needs

USD 117,300.00 - 195,500.00 per year
CompensationCompensation includes a base salary of $117,300.00 - $195,500.00. The base salary may vary within the anticipated base pay range based on factors such as the ultimate location of the position and the selected candidate's knowledge, skills, and abilities. Position may be eligible for additional compensation that may include an incentive program.
