Role Overview

The Library Business Manager is relied on as the foundation of all financial information for the library, which requires the ability to switch between tasks fluidly and to keep pace with a demanding workload. The Library Business Manager works independently under the very limited supervision of the Library Director on tasks requiring great attention to detail and accuracy. The financial data created by the business manager is relied upon by all library management and by the County Finance department. This position is responsible for the building when the Library Director is absent. They handle all cash deposits and are in a position of trust in the organization. The Business Manager is the public-facing contact point for the library with our many vendors and suppliers.

Role Description

  • Entering permanent financial records directly into the main County accounting system
  • Reconcile all the financial data.
  • Performs all accounts payable invoice processing and data entry.
  • Provides reports and figures upon request and responds to financial queries from Library management.
  • Assists the Library Director with budget creation and required state financial reporting. Key employee managing the library’s receiving, both unpacking and verifying all shipments and then distributing them.
  • Follows up with all vendors to handle discrepancies, damages, missing items, and sees those interactions through to completion.
  • Source difficult to find products needed by the organization and find new vendors and obtain pricing.
  • Responsible for processing, verifying, and reconciling all credit card charges paid in and out for all library accounts.
  • Handle all cash deposits and are in a position of trust in the organization.
  • Works independently on tasks requiring great attention to detail and accuracy.
  • Monitor inventory of supplies and ensure that items are ordered in a timely manner to ensure smooth operations.
  • Works closely with the Library Director and performs administrative assistant functions for the Director and other staff as needed to include document creation and review, preparation of mailings, making of phone calls and other related tasks.
  • Will fill in at the main desk when coverage is needed.
  • Manages the records retention and destruction for the library’s financial records.

Knowledge, Skills, and Abilities

  • Sufficient computer and financial knowledge to effectively utilize the County’s financial software as well as proficiency in Excel and the ability to interpret the data provided.
  • Exacting attention to detail and accuracy.
  • The ability to communicate effectively about complex financial matters, shipments, payroll and other matters with co-workers and supervisors.
  • A professional and compassionate demeanor with co-workers, vendors and the general public.
  • A willingness to pitch in when the need arises.
  • Sufficient math skills to perform necessary calculations.
  • Organizational skills to maintain and locate records mandated by the state for retention and other key records.
  • Reliability to work scheduled hours, complete keys tasks, and oversee the building in the absence of the Library Director.

Education and Experience

High School diploma or GED required. Moderate experience in clerical or accounts payable fields. Proficiency in Microsoft Office desired. Other equivalent education and work experience may be considered in meeting the minimum education and experience requirements.

Physical Requirements

  • Ability to lift and move boxes of goods received and to relocate the items inside them.
  • Ability to push loaded book trucks and carts.
  • Ability to stand and work at the main customer service desk when coverage is needed.

Pay: $40,930.00 - $53,210.00 per year
