Ministry Function:

The Development Administrative Manager supports the ministry of Convoy of Hope by providing administrative support and project management to the Office of Development (OOD) to include the Chief Development Officer, Vice President – Development, and Vice President – Development Operations.

Essential Duties and Responsibilities:

1. Acts as point of contact for the Office of Development, including but not limited to:
   • Calendar
   • Travel coordination
   • Prep for meetings
   • Project management
   • Detailed follow-up on projects assigned by supervisor.
2. Responsible for demonstrating sound decision-making ability to ensure deadlines are managed and met as assigned.
3. Composes correspondence, compiles reports, word processing and spreadsheet creation.
4. Maintain working group & public calendars and schedules.
5. Prepares expense reports.
6. Manages confidential information in a professional manner.
7. Interacts with Convoy of Hope team members at all levels of the organization in a gracious and supportive manner.
8. Support the Office of Development in donor communication including thank you notes, gifts, impact reports, and phone calls. Ensures donors are thanked properly after each gift.
9. Maintain Salesforce records for the Office of Development by recording touch points, moves, interactions, asks, etc.
10. Work with other working groups and divisions to create donor facing materials like proposals, grant requests, impact reports, and special thank you reports.
11. All other duties as assigned.

Required Knowledge, Skills, and Abilities:

1. Bachelor’s degree preferred; High School diploma required.
2. Previous administrative, project management and organization experience required.
3. Excellent communication skills both verbal and in writing.
4. Ability to use a PC and software programs, including, but not limited to Gmail, Word, Excel and PowerPoint.
5. Familiarity with online project management platforms such as Basecamp and Monday.com.
6. Strong interpersonal skills and a demonstrated ability to effectively interact with Convoy of Hope partners and donors.
7. Strong organizational skills for handling several projects at one time. Must be detail-oriented with the ability to follow through without direct supervision.
8. Attends and actively participates in COH At Home Week meetings and activities as a required responsibility to the organization and fellow team members.
9. Serve as an advocate for the ministry, striving to nurture, broaden and develop financial and other resource opportunities to support and expand organizational and program ministry.
10. Ability to positively represent the ministry of Convoy of Hope, including its mission statement and core values, to all outside constituencies.
11. As a Christian organization, Convoy of Hope believes it is critical that each staff member embraces the organization's religious purposes for which it exists and not only agrees with its Statement of Faith but demonstrates it in their lives on an ongoing basis.
