Position Overview

Pay type: $110k-$125k

Schedule: M-F

Location: Atlanta, GA.

Position Objective: This role entails comprehensive operational and financial oversight of a business unit within the company concerning the management of HOA, Declarant, and Condominium clients. Its purpose is to establish operational excellence with a customer-focused approach through the development of consistent internal processes. Quality assurance is a key performance indicator, emphasizing the need for effective inter-departmental communication and goal setting. The role also involves concise reporting, active participation in Executive Staff meetings, forward-thinking, and direct client communication when necessary. We prioritize customer and stakeholder satisfaction, making this an active rather than passive role.

Primary Responsibilities:

Community Association Manager Level Duties (HOA and Condominium Clients):

  • Ensure implementation of Board policies, resolutions, and goals.
  • Maintain knowledge of Association Governing Documents and legal requirements.
  • Provide excellent customer service and maintain open communication.
  • Be available for after-hours emergencies.
  • Adhere to company and Association policies and procedures.
  • Update and maintain community information in Vantaca.
  • Utilize company systems for mentoring new CAMs and regular training sessions.
  • Assist in the preparation and implementation of annual budgets.
  • Manage daily financial operations and report monthly financials.
  • Act as the primary point of contact for onboarding new Associations.

Executive Level Duties (Property Manager Oversight):

  • Manage all clients serviced by the company.
  • Foster senior relationships with each Board of Directors.
  • Develop and maintain effective communication with the Board of Directors.
  • Oversee or establish systems to optimize management and customer service.
  • Report priority objectives to the Executive Team.
  • Supervise Property Managers and ensure portfolio-related client oversight.
  • Identify, train, and develop internal candidates for field roles.
  • Define Property Managers' duties and establish reporting processes.
  • Develop training and quality assurance processes.
  • Implement a customer outreach system.

Operations:

  • Identify automation opportunities and process improvement capabilities in Vantaca.
  • Conduct Quality Assurance Audits on management and financial operations.
  • Prioritize and execute process improvements using internal resources.
  • Develop Standard Operating Procedures (SOPs) and supervise direct reports.
  • Acquire subject matter expertise in key technology systems.
  • Collaborate with the Controller and other business unit leaders on budget development.

Business Unit Responsibilities:

  • Track business unit P&Ls.
  • Supervise Community Managers and support staff.

Supervisory Responsibilities:

  • Supervise Community Managers and support staff as applicable.

Qualifications:

  • Demonstrate proactive strategies for contract stability and employee retention.
  • Possess exceptional organizational, communication, and leadership skills.
  • Commitment to the company's mission, vision, and beliefs.
  • Previous supervisory experience required.
  • Proficiency in Microsoft Applications.
  • Bachelor's degree preferred.

Education and Experience:

  • Minimum of 5 years of supervisory experience.
  • College degree or equivalent experience preferred.

Certificates, Licenses, Registrations:

  • Valid Georgia Driver's License and State Mandated Vehicle Insurance.
  • Certification from PCAM, CMCA, or AMS preferred.
