We are searching for a passionate and motivated Practice Manager to work alongside our team. The selected candidate will be responsible for the operations of the practice, including but not limited to managing the day-to-day functions of the office and collaborating with staff members to ensure that patient care is delivered in an accurate, timely manner. The Practice Manager will assist in the hiring, training and development of the medical staff members, as well as oversee our quarterly budget and pay-roll.

Principal Duties and Responsibilities (Essential Functions):

• Provide exceptional customer service during every patient encounter (in person or via phone)
• Maintain a friendly, polite, professional, empathetic, and helpful attitude at all times during both internal (fellow employees) and external (patients) exchanges.
• Must be highly organized and self-driven.
• Must be able to navigate simple and complex spreadsheets and provide accurate data entry.
• Demonstrates thorough understanding of all Medical and Vision Benefit plans.
• Accurately interprets and applies Medical and Vision Benefit coverage.
• Works closely with Billing Manager to ensure staff are adequately trained on insurance eligibility and are collecting appropriate copays and coinsurance.
• Monitors the daily schedule to make sure patients are being scheduled correctly, that the template is optimized for maximum profitability, and to ensure patient flow in the office is moving in a timely manner.
• Thorough understanding of the optical sales consultant role.
• Willingness and ability to spend majority of patient care time on the optical sales floor.
• Willingness and ability to assist in simple tasks to support the optometric technicians, including but not limited to: promoting benefits of and completing Optos photos, utilizing the auto refractor, utilizing the Lipiscan, setting a phoropter, doing a simple work up for the optometrist, completing contact lens sales and ordering, promoting benefits of the annual supply, contact lens Insertion and Removal training.
• Reconciles patients’ concerns to their satisfaction utilizing active listening and an empathetic approach to maintain patient satisfaction.
• Provides in the moment feedback to direct reports to improve sales and operations of the location.
• Providers formal feedback to direct reports in the form of performance reviews.
• Monitors time punches of direct reports for accuracy to ensure payroll is correct and to reduce overtime hours.
• Accurately completes all required forms and submits them within required time frames.
• Supports and implements all processes, policies, and procedures established by the organization.
• Immediately reports any concerns with compliance to owners and operations director.
• Recommend to operations director improvements for staff training and overall operations.
• Must operate within the defined rules of HIPAA at all times.
• Performs other related duties as necessary
