Job Summary:

Large Valley Wide Property Management company in need of a strong candidate to act as a maintenance coordinator and Administrative Assistant.

This position requires strong skills to manage maintenance coordination and work directly with the maintenance department. This includes managing incoming work orders, scheduling work orders, assigning to appropriate technician or vendor, follow up with residents to make sure the work order has been completed. Additionally ,Managing the schedule and calendar, managing the system that tracks maintenance techs time, work orders and corresponding notes.

The Administrative Assistant facilitates the efficient operation of the assigned department by performing a variety of clerical and administrative tasks

Answers and transfers phone calls, screening when necessary.

  • Welcomes and directs visitors and clients.
  • Maintains filing systems as assigned.
  • Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed.
  • Responds to and resolves administrative inquiries and questions.
  • Data entry of billings and invoices
  • Scheduling
  • Working closely with Maintenance Supervisor as a maintenance coordinator
  • Maintains office supplies and coordinates maintenance of office equipment.
  • Performs other related duties as assigned.

Hours:

  • Monday – Friday, 8:30 AM – 5:00 PM

Exemption Status:

  • Non-exempt Duties/Responsibilities:

Required Skills/Abilities:

  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Excellent organizational skills
  • Ability to work independently and manage multiple tasks
  • Ability to make policies and procedures for office and maintenance efficiency
  • Proficient in Microsoft Office Suite and Excel or related software.
  • Excellent organizational skills and attention to detail.
  • Basic understanding of clerical procedures and systems such as recordkeeping and filing.
  • Ability to work independently.

Education and Experience:

  • One to Three of experience in an administrative role.

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 10 pounds at times.

Job Type: Full-time

Pay: $19.00 - $23.00 per hour
