Description
Under general supervision from the Director of Operations and the Director of Admissions, the New York Film Academy (NYFA) Front Desk Admissions Specialist will perform requested Reception and Admissions duties as well as assisting incoming students and guests being the first point of contact for NYFA Miami Campus. They will also provide clerical support for the assigned NYFA departments; communicate various information regarding activities and/or response to requests; and provide for timely and accurate distribution of materials. Additionally, the Front Desk Admissions Specialist will conduct information sessions and campus tours regularly.
REPRESENTATIVE RESPONSIBILITIES:
The following responsibilities are general duties that a particular employee in this position may or may not be required to perform. The day-to-day duties required of this position may vary.
  • Answer phones for the purpose of screening calls; transferring calls; respond to inquiries and emails; and taking messages.
  • Serve as a frontline resource to the entire office.
  • Build and maintain relationships with prospective students and their families.
  • Daily use of an internal database to update the student database.
  • Handle a high volume of requests, providing detailed information about educational programs and services
  • Assist with receiving and processing application materials for the Admissions Enrollment Team.
  • Assist qualified prospective students with enrollment procedures and document submission.
  • Assist with opening/closing classrooms and/or other campus facilities as needed..
  • Assist Admissions teams as needed with filing, paperwork and phone calls.
  • Assist select NYFA staff with copying, filing, mail and data entry as requested by supervisors.
  • Responds to inquiries of staff, other educational institutions and the public for the purpose of providing information about the New York Film Academy.
  • Conduct campus tours and info sessions effectively communicate information to guests
  • Assistance with on-campus recruitment events, off campus fairs and other NYFA duties as needed.
  • Coordinate with the NYFA social media team on Miami-specific social media content, including but not limited to capturing or coordinating photos, videos, written captions, live sessions, event coverage, take-overs, and similar. Capture original content and work with other areas to provide content that aligns with enrollment and marketing goals, with a focus on admissions and the student experience.
  • Other related duties as assigned by the Director of Operations, Director of Admissions, Director of Marketing and by senior management.

EDUCATION, EXPERIENCE and CERTIFICATION:
  • Bachelor's Degree. Experience may substitute for required education up to 4 years.
  • 1-2 years administrative experience in a higher education setting (admissions, recruitment, or customer service)
  • Experience in handling high volume of calls and in-person requests in an office setting.
  • Experience working in a fast pace, multi-tasking, results driven environment with attention to detail.
  • Intermediate proficiency with Microsoft Suite Word, Outlook, Excel, PowerPoint
  • Valid driver's license required

ENVIRONMENTAL / ATMOSPHERIC WORKING CONDITIONS:
The following environmental / atmospheric working conditions are commonly, but not always, associated with the performance of this position. The actual working conditions will vary.
  • Office, Higher Education environment setting.
  • Sit for long/high periods of time to perform various computer/administrative tasks.
  • Reasonable dexterity of hands and fingers to operate and/or manipulate computer keyboard and other office equipment.
  • Subject to standing, walking, sitting, bending, reaching, kneeling, pushing and pulling, and manual dexterity.
  • Verbally and effectively communicate utilizing face-to-face contact and high volume of telephone usage.
  • Lift, carry, push and/or pull documents/boxes weighing up to 10-20 lbs.
  • Work a total of 5 days a week. Saturday availability required.
