Job Summary

We are looking for an HR Generalist / Office Assistant to assist the Human Resources department as well as have additional responsibilities with the day-to-day functions of our Corporate Office.

This will include assisting human resources, administrative efforts, basic accounting, scheduling, and facilities management, as well as a variety of other HR / office functions.

Primary Responsibilities will include (but not be limited to) :

  • Be on-site 2-3 days a week, or as needed, based on in-house activities and / or facility needs.
  • Assist the HR department with data entry and filing of employee documentation, as well as updating internal databases with current employee information.
  • Prepare HR documents to assist with onboarding new hires.
  • Assist with recruiting efforts including sourcing candidates and scheduling interviews.
  • Assist with employee engagement and recognition.
  • Assist the Accounting team with payroll and check processing.
  • Create reports and compiling data using Excel.
  • Assist with travel accommodations and expenses, including processing reimbursements.
  • Liaising with external vendors including maintenance service providers and caterers
  • Oversee facilities functions and maintenance services.
  • Oversee the selection and purchasing of office supplies.
  • Aid the accounting department in handling corporate funds and check processing.
  • Act as the front desk coordinator by taking calls, distributing mail, direct visitors and communicating arrivals to company personnel.
  • Organize and plan company events, including in-house and off-site activities.
  • Maintain the condition of the office and arrange repairs when necessary.
  • Coordinating and handling incoming and outgoing shipments through FedEx and other delivery services
  • Perform other HR or administrative assignments as needed.

Required Experience / Qualifications :

  • 1 year of experience in a HR Administrative or related role.
  • Experience with basic Human Resource, Accounting, and Facilities functions.
  • Proficient in Microsoft suite including Excel, Outlook, Outlook Calendar, Word, etc.
  • A high school degree or equivalent is required; a Bachelor’s degree is preferred
  • Excellent time management skills and ability to multi-task
  • Customer service orientated.
  • Ability to communicate effectively and professionally with upper management.

Preferred Skills :

  • Proficient in an HRIS is a plus.
  • Proficient in ADP and Costpoint is a plus.
  • Proficient in using corporate banking platforms and services.
  • Proficient in scheduling and booking for executive calendars.
  • Experience working with Centre Suite
