Job Summary
Catering Sales Coordinator- Santa Clara Convention Center
Essential Duties and Responsibilities:
- Knowledge in Microsoft Outlook, Teams, Word, PowerPoint and Canva
- Handle small to medium size catering events and events that need R&C services. This means working directly with clients to plan and execute events as well as upsell.
- Greet clients while on-site and introduce client to the Operations Manager for smooth transition and execution of events. This may require Sales Coordinator to be present during the event.
- Participate at BEO (banquet event order) meetings and communicate with Operations Team and Culinary Team prior to the event to ensure successful execution.
- Perform daily admin tasks such as: mail distribution, answer main line and direct inquires in a professional and client centric manner with the ability to perform assigned duties with attention to detail, speed, accuracy, follow-through, courtesy, cooperativeness and work with a minimum amount of supervision
- Support the Sales Managers and Director of Sales for special projects and admin related tasks
- Organize signed digital copy of actual consumptions post event and enter daily post event consumption in Reserve for invoicing.
- Maintain and update the Credit Refund Tracker
- Send Change in Forecast Reports to appropriate recipients on a weekly basis
- Create BEOs in Reserve and send out Weekly SCCC Batch BEO Distro and Snapshot Report to the Team
- Maintain office supplies inventory (ie file folders, toner, etc.)
- Monday - Friday. Schedule may fluctuate based on business demand. Weekend as needed
- Must know and comply with all company policies and procedures
