The Patient Access Clerk (PAC) is responsible for coordinating an office to establish and maintain a professional relationship with patients, visitors, and staff. The PAC is responsible for basic communication and clerical tasks performed in an office setting. The PAC collaborates with care coordinators to facilitate and coordinate clinical needs of patients. This position requires compliance with CommuniHealth Services (CHS) written standards, including the Compliance Plan and policies and procedures (including the Code of Conduct).

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Greets patients in person and answers the telephone according to CommuniHealth Services’ standards and transfers calls accordingly.
  • Schedules appointments electronically according to scheduling policy.
  • Enters accurate and complete data entry of information into CHS practice management system.
  • Maintains patient confidentiality according to HIPAA laws and CHS policies and procedures as well as compliance with HRSA regulations.
  • Receives and sorts faxes electronically and submits electronically to the appropriate person or department.
  • Scans and indexes medical record documents into the Electronic Medical Record System.
  • Accurately collects and posts co-pays/deductible/co-insurance to patient accounts.
  • Completes a daily deposit and transports deposit to the bank according to accounting policy.
  • Maintains a tidy waiting area and work area visible to the public.
  • Requests patient’s medical records from other entities, when appropriate, to ensure continuity of care.
  • Fulfill medical records requests from entities outside of CommuniHealth Services as directed by the Patient Access and Customer Service Program Coordinator.
  • Offers and assists all patients in completing sliding fee applications.
  • Completes required CHS training per policy, maintains compliance with and knowledge of all CHS departmental, facility specific and system-wide policy and procedure, attends mandatory departmental meetings and/or training, and follows CHS Mission, Vision and Values in delivery of all services.
  • Participates in all appropriate meetings within the organization.
  • Performs other duties as may be assigned.

EDUCATION:

  • High School Diploma or GED

SKILLS/EXPERIENCE:

  • Must be able to read, write, and speak the English language in an understandable manner.
  • Clerical office experience preferred.
  • Call center experience is required.
  • Experience in centralized scheduling is required.
  • Must have good verbal and written communication skills.
  • Must maintain a professional personal presentation.
  • Must possess excellent customer service skills.
  • Ability to use discretion while working with sensitive information.
  • Meticulous attention to detail with the ability to multi-task.
  • Must be reliable and trustworthy

ENVIRONMENTAL/WORKING CONDITIONS:

  • Works in a well-lighted/ventilated office area of the facility.
  • Is subject to frequent interruptions.
  • Is involved with personnel, patients, visitors, government agencies/personnel, etc., under all conditions/circumstances.
  • Is subject to hostile and emotionally upset personnel, patients, visitors, etc.
  • Is willing to work beyond normal working hours: weekends, holidays, and other shifts/positions as necessary.
  • Attends and participates in continuing educational programs designed to keep you abreast of changes in your profession.
  • Is subject to cuts, bruises, falls, burns from equipment, odors, etc., throughout the work day.
  • May be exposed to blood borne pathogens, infectious waste, diseases, conditions, etc., including the potential exposure to the AIDS and Hepatitis B viruses.
  • Occasional overtime maybe required and/or hours maybe shortened as business needs dictate.

PHYSICAL DEMANDS:

  • Must be able to handle occasional lifting and pulling.
  • Must be able to move intermittently throughout the workday.
  • Must be able to function independently, have personal integrity, and the ability to work effectively with patients, personnel, and support agencies.
  • Must be able to relate to and work with ill, disabled, elderly, emotionally upset, and at times hostile people within the facility.
