COLDWELL BANKER VANGUARD REALTY, INC. is Hiring an Office Support Assistant Near Ponte Vedra Beach, FL

The position is for an Office Support Assistant (OSA). The ideal candidate is growth minded, responsible, organized, and driven to maintain positive relations with our vendors, agents, customers, partners and suppliers. This is a highly visible role that works directly with the Broker Manager, Controller and Operations Manager and will be a key contributor in the company’s continued growth as a market leader.

The Office Support Assistant is responsible for day to day management of administrative functions and office maintenance. The OSA is responsible for reporting of business activities and will support the Broker Manager with day to day operations. This position will help develop and implement process and system improvements, where appropriate, to enhance customer value.

Responsibilities for Office Receptionist:

  • · Greet office clients and guests, practicing good hospitality and a smile
  • · create social media posts
  • · Work closely with the operations officer to oversee daily business operations
  • · Compile sales reports and submit to relevant parties
  • · Attend to any correspondence and emails by customers, clients and contractors
  • · Assist with onboarding and exiting processes for sales associates
  • · Assist Broker Manager with planning office functions and sales meetings
  • · Oversee facilities maintenance for the office (telephone, internet, copiers, etc.)
  • · Maintain vendor contracts and relationships for the office
  • · Assist with simple technological issues
  • · Perform compliance check for required transaction documents
  • · Make desktop deposits for incoming commission checks

Qualifications for Office Receptionist:

  • · Experience in a business work environment preferred
  • · Knowledge of the real estate industry a plus but not required
  • · Ability to prioritize tasks and meet deadlines
  • · Customer Service focused
  • · Proficiency in Excel and Microsoft Office applications
  • · An eye for attention to detail
  • · Ability to handle multiple tasks simultaneously and effectively in a fast-paced environment
  • · Ability to work sitting down in front of a computer for long hours every day
  • · Ability to network, communicate and negotiate with outside vendors
