The Role:

We are seeking a highly organized and resourceful individual to join our team as an Executive Assistant and Facilities Manager. In this dual role, you will provide exceptional administrative support to three members of the executive team while simultaneously overseeing the smooth operation and maintenance of our office space.

Key Responsibilities:

  • Manage the calendars and schedules of executives, prioritizing tasks and ensuring efficient time management.
  • Organize and manage meetings, conferences, and travel arrangements.
  • Handle incoming emails, calls, and correspondence, acting as a primary point of contact and filtering essential information.
  • Draft and edit documents, presentations, and reports, ensuring accuracy and professionalism.
  • Research and compile information for executives on various projects and initiatives.
  • Maintain confidential files and sensitive information with discretion.
  • Help with travel and expenses as requested
  • Coordinate with other departments to facilitate effective communication and workflow.
  • Oversee the daily operations and maintenance of our Boston office space, ensuring a clean, comfortable, and functional environment.
  • Manage vendor relationships for building services, janitorial services, IT support, and other maintenance needs.
  • Implement and enforce office policies and procedures related to security, safety, and equipment usage.
  • Coordinate building repairs and renovations as needed, ensuring minimal disruption to workflow.
  • Monitor energy consumption and implement cost-saving measures.
  • Manage inventory of office supplies and equipment, placing orders and maintaining efficient stock levels.
  • Coordinate office moves, furniture arrangements, and event logistics.
  • Stay informed of and comply with all local and state regulations concerning building safety and maintenance.

Requirements:

  • Minimum of 5 years of experience in a similar role, with proven success in providing exceptional administrative and facilities management support.
  • Strong organizational and time management skills, with the ability to prioritize multiple tasks and meet deadlines efficiently.
  • Excellent communication and interpersonal skills, with the ability to build rapport with executives, staff, and external vendors.
  • Proficient in Microsoft Office Suite and other relevant software applications.
  • Detail-oriented and proactive approach to problem-solving.
  • Discretion and ability to maintain confidentiality in a fast-paced environment.
