CityGate Hospitality is Hiring a Full Time Hotel Arista Reservations Manager Near Naperville, IL

Department: Reservations

Reports to: Director of Revenue Management

Status: Salary exempt

Role Summary:

 The Reservations Manager is primarily responsible for overseeing Group Housing and Reservations.Additionally, this individual is responsible for assisting the Director of Revenue Management in overseeing and coordinating the revenue management functions of the hotel.The Reservations Manager also completes high level analysis work for a variety of departments to ensure efficiencies and profitability throughout the hotel.

Responsibilities:

Reservations Responsibilities

1. Coordinates group reservations activities including group bookings, room blocks, and rate implementations

2. Enters all group rate and coding in the PMS. Ensures that all group reservations have been coded and entered correctly for the appropriate group block

3.Monitors group arrivals for coding and billing

4.Coordinate and communicate directly with clients regarding group changes

5.Oversee Reservations function and associated team members 

6.Coordinates and participates in training for all Sales Managers, including Delphi training

7.Communicates group specifications, billing requirements, deadlines, and client no-shows to the appropriate operational department

8.Notifies client of scheduled deadlines for cut-off dates and room block adjustments. Follows through on collection with either the client or sales manager

9.Calculates group attrition rate and advises

10.Coordinates weekly, bi-weekly, and monthly pick-up reports for the client

11.Communicates directly with the clients on behalf of the sales managers, specifically pertaining to rooming lists & reservation needs

12.Serves as the main group housing contact for the hotel and assist in all reservation needs.

13.Books rooms for the guests in an efficient, accurate manner

Revenue Responsibilities

1.Assists the Director of Revenue Management in establishing hotel pricing strategies.

2.Updates hotel distribution channels to ensure rate parity.

3.Updates room scheduler program.

4.Conducts in-depth analyses and produces reports regarding functionality of departments, systems, and processes and relays results to General Manager and Director of Revenue Management

5.Assists the Director of Revenue Management in analyzing past trends as a basis for recommending future strategies.

6.Analyzes weekly reservations to monitor turnaways, conversions, etc.

7.Creates the 14 day forecast (weekly), daily shop report, and assists with the 90 day forecast.

8.Performs weekly revenue management tasks including the STAR report data entry and analyzing and evaluating competitive set pricing.

9. Assists the Director of Revenue Management in developing and maintaining sales forecasts and budgets. 

10.Trains with and shadows the Director of Revenue Management to become an expert in market conditions and trends.

11.Prints and reviews the flash report and labor productivity report daily and reports discrepancies and findings to the General Manager and Director of Revenue Management.

Minimum Qualifications:

Education

  1. High school diploma or equivalent education required. Bachelor’s degree preferred.

Experience

  1. Two or more years as an administrative assistant, preferably in a hotel setting.
  2. Revenue management system knowledge a plus.
  3. Strong Microsoft Office Suites skills required.

Skills

  1. Excellent written and verbal skills.
  2. Strong organization, multi-tasking, prioritizing, and teamwork skills.

Physical Requirements

  1. Exert physical effort in lifting/transporting up to 15 pounds.
  2. Must be able to sit at a desk for up to 8 hours per day. Walking and standing are occasionally required.
