DESCRIPTION OF DUTIES/ESSENTIAL FUNCTIONS

Performs varied professional administrative functions associated with organizing the development and implementation of administrative and supervisory activities of the assigned department or service line.

Provide administrative support for content management, data analysis, fleet applications, process mapping, database management, writing and customer service, fleet GPS billing and invoice review, fleet GPS inventory control, purchasing, fleet condition and retirement, GPS accounting and budget reconciliation, home storage vehicle management and AP2-2 compliance, and the HPW motor pool system.

The Administrative Coordinator duties will include but are not limited to:

* Review invoices for accuracy, verification, and distribution for Proof of Deliveries (POD's).

* Respond to vendor invoice inquiries about past-due invoice payments.

* Follow up and coordinate vehicle replacements and underutilized equipment.

* Manage fleet GPS inventory, purchases, and warranties.

* Manage the vehicle home storage program and system.

* Monitor policy and procedure compliance. AP2-2

* Interfaces with staff across the department to maintain accurate and compliant documents.

* Maintains files and documentation thoroughly and accurately, in accordance with city, state, and departmental policies.

* Receives, researches, and resolves a variety of routine internal and external inquiries concerning account status, including communicating the resolution of discrepancies to appropriate persons.

* Analyze and generate various monthly and quarterly reports.

* Use e-signature applications to complete document approvals, share, and organize digital files.

* Participates in special projects as assigned by the department or division head.

WORKING CONDITIONS

The position is physically comfortable; the individual has discretion about walking, standing etc.

This is a Department of Houston Public Works Mangement position at the Tier II Level.EDUCATIONAL REQUIREMENTS

Requires a Bachelor's degree in Business Administration, Liberal Arts, or a closely related field.

EXPERIENCE REQUIREMENTS

Five (5) years of administrative experience are required.

Professional administrative experience may be substituted for the above education requirement on a year-for-year basis.

LICENSE REQUIREMENTS

NonePreference will be given to individuals with experience in working on and reconciling invoices as well as experience developing and utilizing filing systems. This position requires knowledge of Fleet Systems, GPS data systems, SAP and MS Excel, Queries, e-signature platforms(DocuSign), research skills, use of analytical judgment and pays attention to details. Good organizational, verbal and written communication skills and ability to work effectively with all levels of management. Prefer knowledge of municipal accounting, and processing of payment procedures.

Preference shall also be given to eligible veteran applicants provided such persons possess the qualifications necessary for competent discharge of the duties involved in the position applied for, such persons are among the most qualified candidates for the position, and all other factors in accordance with Executive Order 1-6.SELECTION/SKILLS TESTS REQUIRED: None

However, the department may administer a skills assessment test.

Factors used in determining the salary offered include the candidate's qualifications as well as the pay rates of other employees in this classification.

PAY GRADE: 24
