Admin/Accounting Assistant

City of Eufaula - Finance Department

JOB SUMMARY

This position provides administrative, customer service support and specialized duties in support of city accounting functions and other administrative functions in City Hall.

MAJOR DUTIES

· Process Accounts Payables invoices in a timely and accurate manner. Verify and investigate discrepancies.

· Assist as needed in all areas at City Hall. Such as in Human Resources, Business Licenses and Building permits, etc.

· Maintain office files and records.

· Establishing and maintaining relationships with new and existing vendors, department heads, co-workers, etc.

· Handle various departments’ conference hotel reservations.

· Attend meetings and prepare minutes as needed.

· Assist with coordinating and scheduling meetings and appointments.

· Sort and distributes mail and go to banks and post office as needed.

· Answers phone and greet visitors, provides information and assistance as needed.

· Performs related duties.

KNOWLEDGE REQUIRED BY THE POSITION

· Knowledge and experience of accounts payables processes.

· Knowledge of customer service principles and practices.

· Knowledge of City and department policies and procedures.

· Knowledge and experience of computers and job-related software programs. (Excel, word, etc.)

· Skill in problem solving.

· Skill in prioritizing and planning.

· Skill in interpersonal relations.

· Skills in oral and written communication.

· Detail oriented.

SUPERVISORY CONTROLS

The City Clerk/Treasurer or her/his assignee assigns work in terms of general instructions and spot-checks completed work for compliance with procedures, accuracy, and the nature and propriety of the results.

GUIDELINES

Guidelines include GAAP, state and federal regulations, and city and department policies and procedures. These guidelines are generally clear and specific but may require some interpretation in application.

COMPLEXITY/SCOPE OF WORK

· The work consists of related specialized duties. Strict regulations and the need for accuracy and timeliness contribute to the complexity of the position.

· The purpose of this position is to provide specialized support for the city’s accounting, human resources and administrative functions. Successful performance ensures accuracy of all city records.

CONTACTS

· Contacts are typically with coworkers, other city employees, jobs applicants and general public.

· Contacts are typically to exchange information, resolve problems, and provide services.

PHYSICAL DEMANDS/ WORK ENVIRONMENT

· The work is typically performed while sitting at a desk or table or while intermittently sitting, standing, or stooping. The employee occasionally lifts light objects and uses tools or equipment requiring a high degree of dexterity.

· The work is typically performed in an office.

SUPERVISORY AND MANAGEMENT RESPONSIBILITY

None.

MINIMUM QUALIFICATIONS

· Knowledge and level of competency commonly associated with completion of specialized training in the field of work of accounting and administration functions, in addition to basic skills typically associated with a high school education.

· Sufficient experience to understand the basic principles relevant to the major duties of the position, usually associated with the completion of two years of working in customer service and accounting.

· Sufficient experience in excel and work programs.
