Citizen Advocates is Hiring an EXECUTIVE ASSISTANT Near Malone, NY

SUMMARY/OBJECTIVE:
The Executive Assistant supports the Executive and/or Senior Director in achieving company objectives. This may include attending meetings, developing and implementing policies and procedures, performing market research, supporting major initiatives and projects, creating reports, managing calendars and travel, and acting as a gatekeeper for the Executive and/or Senior Director. The Executive Assistant will handle confidential information and must adhere to strict confidentiality.
Essential Functions (Job Duties)
  • Serves as principal point of contact and liaison for Executive and/or Senior Director answering incoming phone calls in a polite and professional manner, prioritizing the flow of communication, and accurately taking messages.
  • Manages Executive and/or Senior Director’s schedule which includes scheduling meetings, preparing agendas, operating audio-visual systems during meetings, recording minutes and ensuring meetings move along according to the agenda and timeline.
  • Anticipate needs of the Executive and/or Senior Director ensuring Executive and/or Senior Director is fully prepared for all meetings and events.
  • Organize meetings which will include ordering food, coordinating all aspects, and follow up from meeting/event taking minutes as appropriate.
  • Plan and coordinate all travel plans and create expense reports.
  • Handle all incoming and outgoing correspondence for Executive and/or Senior Director. This may include letters, memos, emails, and reports.
  • Prioritize scheduling and access to the Executive and/or Senior Director. Serves as a ‘gatekeeper’.
  • Professionally represent Executive and/or Senior Director in their absence.
  • Produce reports, presentations and briefs as needed.
  • Develops and maintains an efficient documentation and filing system (paper and electronic).
  • Attend meetings with Executive and/or Senior Director as requested to observe and take minutes on discussions and action items.
  • Attend meetings Executive and/or Senior Director cannot attend due to schedule conflicts or other obligations taking notes and reporting back to Executive and/or Senior Director.
  • Serve in project management capacity for major projects being led by Executive and/or Senior Director, creating timelines, facilitating project meetings, and ensuring projects remain on track and on budget.
  • Develop, review, improve, and implement policies and procedures to ensure smooth operations.

Position Type/Expected Hours of Work
This is a full-time position. 40 hours per week.
Workweek schedule: Monday through Friday. Hours of work: 7:30a.m. - 4:00 p.m.
Hours and schedules may vary depending on Company need and workload. Employees will be given as much advance notice as possible when such changes occur.
Travel
Travel is primarily local during the business day, although some out-of-the-area and overnight travel may be expected.

Required Education and Experience
1. This role requires am Associates degree with 3 years of experience. Bachelors degree is preferred.
2. Experience with OMH, OASAS, OPWDD, and DOH regulations and programs is required.
