Job Location: Hybrid (Ewing, NJ/Home Office)

In this opportunity, you will provide administrative support to the HR function. You'll be a key member of the Administrative and Human Resources team using your experience, skills and knowledge of organizational policies, procedures and practices to help achieve the goals of the business. You will be a part of a high-performing, diverse and inclusive team of administrative support professionals sharing best practices. This position is considered hybrid

Your Key Responsibilities:

  • Organizing and managing executive leadership calendar and coordination of internal and external meetings as needed.

  • Timely processing of expense reports for department head utilizing Concur.

  • Utilize Microsoft Office products as necessary to prepare and revise documents including PowerPoint presentations, excel spreadsheets and correspondence as required.

  • Utilize Workday to extract reports and enter data as necessary.

  • Coordination of the Reward & Recognition program requests and budget tracking.

  • Maintain office equipment & supplies, and distribute the mail.

  • Work with hiring managers to coordinate on-boarding for HR new joiners and submit requests for IT equipment / phone / Amex through Service Now.

  • Manage space planning allotments for functional floorplan and submit tickets for physical office or cubicle moves or establishing space for new hires.

  • Assist with centralized administrative projects and provide coverage for other administrative assistants to accomplish tasks and balance workload as necessary.

HR Specific Admin Support:

  • HR meetings, events and agenda coordination, Sr. level vacancy interview scheduling, bereavement and birth announcement/gifts, employee service awards, coordination of survivor workstream, matching gift requests, executive donations, etc.

  • Tuition Reimbursement (Communication, processing, engagement with employees as needed)

  • HR Service Delivery support and board preparation support.

Education and Experience:

  • High School Diploma with 3 years related experience or BS/BA with related experience.

  • Proficiency in automated calendar management tools (e.g., Outlook) and various MS Office 365 tools.

  • Excellent communication skills, effective ability to manage conflicting priorities, organize workflow and team with colleagues.

  • Ability to develop relationships with key stakeholders both within and outside of the function.
