Job Description:


Job Summary:

Join a collaborative team that ensures smooth financial and benefits operations for a growth provider of critical services to governmental and commercial clients. At Chloeta, you will manage all facets of multi-state payroll in Paycom, Costpoint and similar systems.

Supervisory Responsibilities:

  • This position has no direct supervisory responsibilities.
  • This position reports directly to the Vice President, Human Resources and works in close collaboration with the Accounting and Operations Groups

Job Classification:

  • FLSA non-exempt permanent full-time position

  • 26.00 - 35.00 per hour

Duty Station:

  • Oklahoma City, OK (Fully Onsite)

Duties/Responsibilities:

  • Accurately performs gross-to-net payroll calculation and the release and distribution of payroll checks bi-weekly and semi-monthly for multi-state payroll.
  • Audit semi-monthly timecards and assist managers with understanding and implementation.
  • Generates special "off-cycle" payroll runs for bonus checks and "ad-hoc" payments as requested by management.
  • Serve as primary Point of Contact (POC) to resolve issues regarding payroll, leave accruals, wage deductions and other pay related issues in all verticals within the company.
  • Serve as Subject Matter Expert (SME) for multi-state payroll and benefits along with payroll and benefit liability matters.
  • Further develop payroll strategy, to ensure effectiveness, process efficiency, and financial improvements.
  • Ensure all employees are set up correctly in payroll, enrolled in benefits, and have W4s/state tax forms completed.
  • Manage employee benefits monthly with each carrier and audit and approve all invoices.
  • Ensure state unemployment insurance compliance.
  • Ensure multi-state compliance in the US by opening new state unemployment insurance (SUI) and employer tax accounts, reactivating or closing existing ones, while also working with state labor & workforce departments on ongoing compliance and registration requests
  • Support compliance processes in the US such as: W2 and 1095C distribution. Responsible for payroll compliance with local, state, and federal regulations regarding payments to employees, tax withholding, deductions from employee pay, benefits etc.
  • Implements HRIS changes and assists in the implementation of various HRIS modules in Paycom.
  • Process withholding orders, garnishments, and employment verifications.
  • Complete unemployment and disability benefits forms/communications
  • Generate reports for Accounting, Human Resources, Operations, and other Groups as needed.
  • Responsible for all payroll related activities including reports and tax filings, while maintaining the accuracy and the scheduling of payrolls
  • Coordinate the annual open enrollment process, including organizing annual benefits training(s) to promote education, understanding and use of benefits such as health, dental, vision, life, and 401(k) enrollment.
  • Instructs employees on how to enroll in benefits and change their information through the self-service portal.

Required Skills/Abilities:

  • Computer proficiency; strong knowledge of Excel, HRIS and Paycom Payroll processing systems.
  • Must be able to investigate identified issues within payroll and follow through to resolution.
  • Responsible for all payroll related activities including reports and tax filings, while maintaining the accuracy and the scheduling of payrolls.
  • Ability to perform under pressure in meeting payroll deadlines.
  • Knowledge of various benefit programs & FMLA/Disability administration.
  • Working familiarity of state and federal labor laws and regulations.
  • Ability to compose and present comprehensive reports.
  • Ability to stay organized when asked to do multiple tasks.
  • Capacity to work independently as well as with a team.
  • Communicate progress and results of tasks and jobs completed.
  • Unquestionable integrity, ability to handle confidential and sensitive information.
  • Ability to respond effectively and timely to sensitive information.
  • Self-starter with a high sense of urgency and the ability to prioritize multiple tasks in a fast-paced environment.
  • High degree of customer service focus experience
  • Ability to pass a credit check and background check.
  • Strong oral and written communication skills, including the ability to communicate effectively with all levels of personnel.

Education and Experience:

  • Required: Bachelor's degree in human resources or related field and 2 years or more multi-state payroll or associate degree in human resources or related field and 4 years or more multi-state payroll
  • Preferred: Paycom experience
  • Preferred: CBA with pension knowledge and SCA experience
  • Preferred: Experience using more than one payroll system
  • Preferred: Proven success working independently within a fast paced and growing organization
