Position Overview:
As an Office Administrator specializing in scheduling, you will be at the heart of our daily operations, ensuring smooth coordination of appointments, meetings, and calendars. Your role will be crucial in optimizing productivity and ensuring that our scheduling needs are met with accuracy and efficiency.

Key Responsibilities:

  • Appointment Management: Coordinate and oversee appointments for team members, adeptly handling scheduling, rescheduling, and cancellations.
  • Meeting Coordination: Arrange and manage internal and external meetings, ensuring participants are well-informed of details and any updates.
  • Calendar Management: Maintain and update calendars for key team members, ensuring accuracy and consistency.
  • Communication: Serve as the primary point of contact for scheduling inquiries, delivering prompt and professional responses.
  • Documentation: Maintain meticulous records of appointments, meetings, and schedules, ensuring accessibility and accuracy.
  • Collaboration: Work closely with administrative staff and team members to synchronize schedules and optimize resource utilization.
  • Problem Solving: Proactively identify and resolve scheduling conflicts to uphold operational efficiency.
  • Ad Hoc Tasks: Provide support for various administrative tasks and projects as needed to uphold office operations.

Qualifications:

  • Previous experience in office administration or scheduling preferred.
  • Proficiency in QuickBooks or similar accounting software
  • Strong organizational skills with the ability to manage multiple tasks simultaneously.
  • Excellent communication skills, both written and verbal.
  • Proficiency in Microsoft Office Suite and scheduling software.
  • Exceptional attention to detail and a commitment to accuracy.
  • Ability to thrive both independently and as part of a team.
  • Proactive mindset with a penchant for problem-solving.
