Chemonicsseeks an Operations Manager (M1) to support the Latin America and Caribbean (LAC) business unit. The Operations Manager will have the opportunity to contribute to the success of a dynamic business unit with 16 active projects in countries such as Colombia, Mexico, El Salvador, Dominican Republic, and Peru. The LAC portfolio covers a range of technical sectors, including democracy and governance, environment and natural resources, and economic growth. The Operations Manager plays a key role in managing internal HRD administrative processes and systems, ensuring smooth operations of the division and fostering an inclusive and collaborative environment. Collaborating across teams, the operations manager supports the office of the senior vice president (SVP) by providing broad administrative support to the SVP and implementing assigned corporate and divisional activities. They contribute significantly to creating a customer-service oriented environment, efficiently assisting internal and external audiences and pro-actively supporting them in identifying solutions. We are looking for a self-starter with strong communication, interpersonal, and strategic thinking skills who works well on teams; candidates who bring a strong work ethic and attention to detail, possess excellent judgement and discretion. Responsibilities:

Management:

  • Under the leadership of the Sr. Ops Director, understands the mandate of each department and contributes to the divisional annual work plan and budget development process
  • Manages divisional budgeting and forecasting processes, including tracking and updating divisional expenditures against approved annual budget and monthly staff reforecasting and variance projections
  • Organizes and coordinates HRD staff meetings, retreats, trainings, and employee recognition
  • In partnership with the Professional Development and Engagement (PDE) team, leads operational support for the annual employee feedback survey, facilitating and coordinating across all HR teams and other divisions to ensure accuracy of data and organizational structure
  • Coordinates the review and maintenance of the corporate policy manual under HRD's purview, collaborating closely with the Ethics and Compliance Office (ECO) to ensure all deadlines are met
  • Leads administrative support functions for the SVP, managing the SVP's calendar, ensuring divisional timesheets are completed on time, documents are processed in a timely fashion and according to policy, and making travel arrangements, among others
  • Manages administrative aspects of an employee's lifecycle, from coordinating divisional recruit efforts, supporting new employee orientations and set-up, processing PCF paperwork, and monitoring exit checklists in case of separation, among others
  • Contributes to a customer-service oriented environment by maintaining an in-depth understanding of HR functions and ensuring all questions and ChemSupport tickets are routed to appropriate teams and pro-actively supported in identifying solutions for internal and external clients and customers
  • Leads, as appropriate, divisional initiatives and projects, ensuring smooth implementation across all teams and departments
  • Cross-trains on other key HR functions and steps in to provide surge support as needed
  • Performs other duties and responsibilities as required

Contracts Management:

  • Maintains a comprehensive list of all HRD service contracts, proactively monitoring end and start dates and associated budgets
  • Serves as the primary point of contact for all contracts and contract renewal questions, coordinating closely with the relevant contracts experts to ensue application of Chemonics best practices
  • Manages assigned invoices for billing of professional services rendered to HRD, facilitates proper billing for the division, and coordinates with the accounting department on payments. Tracks payment of outstanding invoices for HRD-related expenses.
  • Develops and maintains productive relationships with any relevant clients, vendors, partners, and consultants including leading the management of all corporate staffing agency contracts

Communication & Outreach

  • Supports the development and implementation of HRD's communications and outreach strategy, leads implementation of specific communication and outreach activities, and maintains the divisional communications calendar
  • Serves as primary point of contact for coordination of employee relations group (ERG) activities, proactively coordinating across other HRD teams in support of DEI efforts
  • Promotes a work environment that emphasizes teamwork, respect for differences, and accepting and giving constructive feedback

Qualifications:

  • Bachelor's degree or equivalent work experience
  • Minimum three years of administrative and/or technically relevant work experience, HR experience preferred
  • Ability to provide proactive customer service to both internal and external clients
  • Demonstrated ability to maintain discretion and work with highly confidential and/or protected information required
  • Exhibits high emotional IQ with emphasis on empathy and compassion
  • Demonstrated ability to communicate clearly and concisely orally and in writing; strong cross-culture communication and sensitivity skills
  • Demonstrated ability to handle routine administrative tasks and operational issues
  • Ability to multitask with attention to detail, organization, and time management
  • Demonstrated ability to follow standard practices and procedures, receive general instruction and supervision, and contribute to projects and initiatives
  • Demonstrated leadership, versatility and integrity
  • Ability to work independently and as part of a team
  • Strong customer service and interpersonal skills.
  • Demonstrated resourcefulness in problem-solving and initiative to learn new skills
  • Willingnessto travelup to8 weeks per year
  • Language fluency in English and Spanish required
  • Strong knowledge of MS Office applications

The Salary Range for this position is expected to be: $68,560 - $85,700.

An employee's pay position will be based on several factors including, but not limited to, relevant education, qualifications, certifications, experience, skills, seniority, performance, shift, travel requirements, and business or organizational needs.
Overtime exemption status may change due to state regulatory requirements.
