Job Location: Headquarters - Hayward, CA
Salary Range: $85,000.00 - $85,000.00 Salary/year

Job Description

Overview of the position:

This position will report directly to the Human Resources Manager and provide administrative and technical support to the HR department along with acting as the company's Safety Coordinator. This position consists of support work which involves moderately complex work methods and problem-solving and requires skilled techniques. Previous experience with the Paycom Payroll System is preferred but not required. English/Spanish speaker is a plus.

Human Resources Job Functions:

  • Assist with routine HR inquiries from internal and external customers
  • Participate in developing organizational guidelines and procedures
  • Recommend strategies to motivate employees
  • Assist with the recruitment process by identifying candidates, conducting reference checks and issuing employment contracts
  • Sets up and maintains employee pre-employment drug screenings and physicals as needed
  • Assist in on-boarding and off-boarding activities
  • Schedule and manage the interview calendar and schedule accordingly based on stakeholders' availability
  • Maintain all employee personnel files in the Paycom system, consistently updating documentation as needed. Retain records based on record retention policies and best practices
  • I-9, workers comp and other confidential information record reviews in a timely manner
  • Maintain office and production floor HR bulletin boards to ensure compliance
  • Assist with benefit administration, open enrollment and qualifying event cases
  • Assist in processing LOA requests and compliance reporting
  • Assist in maintaining the Learning Module System (LMS) within Paycom and offline training software to ensure on-time company and customer required training and certifications are on time and up to date
  • Assists HR Manager and other Administrators with company event coordination
  • Keep up-to-date with the latest HR trends and best practice
  • Perform other administrative duties as required

Safety Job Functions:

  • Maintains and tracks issues with the required scheduled facility safety walk through's to ensure 5S compliance
  • Assist in coordinating first aid training, emergency evacuation drills etc with facilities manager, building landlord and third party vendors
  • Maintains OSHA 300 log
  • Assist in establishing CA DMV pull program
  • Assist and provide information to workers comp adjusters on injury claims
  • Under the supervision of the HR Manager, will assist in scheduling and management of return to work program
  • Will deploy monthly safety meetings with safety committee and engage workforce to become active participants
  • Familiar with Lock Out/Tag Out procedures

Knowledge & Skill Requirements:

  • Deep understanding of Labor Law and employment equity regulations
  • Awareness of OSHA compliance and regulations
  • Efficient HR administration and people management skills
  • Excellent record-keeping skills
  • Excellent knowledge of HR functions and best practices
  • Excellent written and verbal communication skills
  • Works comfortably under pressure and meets tight deadlines
  • Superb computer literacy with capability in email, MS Office and related HR software
  • Remarkable organizational and conflict management skills
  • Strong decision-making and problem-solving skills
  • Meticulous attention to detail

Education/Experience Requirements:

  • Bachelor's degree in Human Resources or related required
  • HR-related certification is a plus! (SHRM-CP, PHR etc.)
  • 3-5 years of experience as an HR Coordinator or related position required
  • Bilingual (English/Spanish
