This is a new position working directly with a key client to support the ongoing delivery and development of their fleet of world leading event spaces. This position is based in New York City.

Description of Role

We are looking for an experienced and collaborative Project Finance Manager with a background in project financials to join our team supporting a major global client. As a key member of our team, youll provide the day-to-day leadership, support, and execution of financial functions for projects and the overall program. You will be responsible for project and program budget/cost control, forecasting, and reporting, including presentations to all levels of management for the client.
Youll oversee project budgets/cost management (e.g., project cost and commitments tracking, project cost forecast and other direct costs monitoring), financial forecasting, the preparation of various reports, and lead the team on all project budgets, invoice processing and assist in resolving invoice-related issues. Youll lead and participate in internal and external meetings including key stakeholders. As the service continues to evolve, you will have the opportunity to grow project finance management as a function within Charcoalblue Experience, including the possibility of building and managing a team. Your ability to multi-task, communicate effectively and tackle challenges will allow you to thrive in our environment.

Key Responsibilities

  • Estimate costs (materials, labor, equipment) for a project in collaboration with the project team.
  • Analyze/validate standard Bill of Material (BOM) costs.
  • Review bids and contracts from subcontractors and suppliers.
  • Analyze (potential) Change Orders for financial soundness and accuracy.
  • Log, track, prepare and present reports on project costs.
  • Report and advise on project spend against budget and potential corrective actions.
  • Assist Project Managers in performing risk assessments and develop contingency plans to mitigate potential cost overruns.
  • Analyze and report on external vendors committed and potential project load.
  • Assist with pay application processing.
  • Lead in developing appropriate financial processes, tools and reporting mechanisms to help understand, monitor and control project costs.
  • Conduct cost report analyses, budget comparisons, and prepare regular status and ad hoc reports.
  • Review cost reports with business unit directors and project leads to forecast accurate projected final costs.
  • Analyze costs and trends affecting current and future budgets.
  • Assist with yearly planning and budgeting.
  • Ensure allocations are properly reported to Finance and key internal stakeholders.
  • Contribute to Quarterly Business Review meetings, as directed by the Director of Account Management and Finance.

Qualifications and Key Skills

Essential

  • Minimum 5 years professional experience managing project cost, financial controls, construction project management, or related experience.
  • Experience within the construction, architecture, AV/broadcast, entertainment technology, or related industries.
  • Experience in cost engineering functions, including cost estimating, cost control, change management, risk management, cost analysis and variance analysis.


Desirable

  • Ability to develop and evaluate project cost estimates and extended budget projections to identify and quantify critical budgetary, cost, schedule, technical, and programmatic risk factors.
  • Experience related to Program Management.
  • Experience with database systems approach to managing financials, data and reporting such as Oracle and eBuilder project management system or equivalent.
  • Experience with developing team staffing plans, cost proposals for projects/programs, and an understanding of how to forecast and track expenditure against budget.
  • Ability to communicate complex information in a clear, concise, and compelling way through a variety of means (i.e., dashboards, graphs, reports, spreadsheets) to a variety of audiences.
  • Experience in construction cost estimating and management.
  • Comfortable managing large budgets.
  • Experience with navigating, formatting, and managing large datasets.
  • Skilled with Microsoft and Google Suite, specifically MS Excel and Google Sheets.
  • Familiarity with AV/broadcast systems.
  • Excellent communication and presentation skills.
  • Highly detail oriented with strong analytical skills.
  • Experience with Finance and Accounting with Program/Portfolio Management.
  • Bachelor's degree in finance- or business-related field.


Interpersonal Skills

  • Ability to work in a collaborative and fast-paced environment with a high degree of self-motivation and initiative.
  • Ability to easily manage multiple projects simultaneously.
  • Detail oriented with ability to think, plan, and execute on multiple projects in different phases simultaneously with little direct supervision.
  • Able to work calmly and effectively under pressure.
  • Flexibility and adaptability to changing business needs.
  • Ability to build relationships with colleagues, clients, vendors, stakeholders, and management.


Working Hours

The role is being offered on an 'at will', exempt basis at 40 hours per week.
As an international organisation, the needs of the business are as such that this role requires a flexibility in working hours (which can be variable from week to week) to facilitate project demands and maintain support across our global entities varying time-zones. Working hours patterns will be agreed with your line manager to suit your personal circumstances and the current project load.
The role is subject to a three-month probationary period.


Location

We are currently working in a distributed hybrid model, meaning you will work from your home or other place of your choosing, in combination with the Charcoalblue New York Studio or client's offices in the New York City Area, subject to local and federal health and safety guidelines. Travel within the US (and occasionally international) for projects and/or team building as required occasionally, with notice.


Salary

The salary range for this role is $95,000 $125,000 per year.

Charcoalblue intends to offer the selected candidate base pay within this range, dependent on job-related, non-discriminatory factors such as experience. Base pay is one part of the total rewards that Charcoalblue provides to compensate and recognize employees for their work. Annual Leave

Take-What-You-Need (TWYN) Leave Team members have no cap on the number of days they wish to take in any one year. This means you can plan holiday or vacation time or request time when you need it, without the worry of running out of leave days. TWYN leave requests must follow policy guidelines and team members are encouraged to use a minimum of 15 days of paid time off per year (prorated in the first year), in addition to federal and some local public holidays.
Charcoalblue traditionally closes its studios between Christmas and New Years Day, resulting in an additional 4-5 discretionary paid vacation days each year.

  • You will be eligible immediately to join our 401K plan (employee contributions only). Employer contributions after two years of service.
  • You will be eligible immediately for life insurance cover, Short Term Disability and you may take advantage of joining our FSA/Dependents Care plans.
  • Following successful completion of the insurance waiting period, you will be eligible to join our company healthcare plan for the duration of your employment.
  • Following successful completion of your three-month probationary period, you will receive an allowance for live event tickets each month in line with our policy limits, to keep current with our industry.
  • Charcoalblue operates a bonus plan which you will benefit from following successful completion of a three-month probationary period. Please note that this is subject to the company's performance year on year and is not guaranteed.
  • You will receive regular check-ins with your line manager to enable you to succeed in the role.
