Job Summary:

The Estate Administration Paralegal plays a crucial role in assisting attorneys with the preparation and organization of legal documents related to the post-death estate and probate administration process. We are looking for an individual experienced in probate administration (reviewing wills and assets, estate administration, etc.). This paralegal will own pre and post-probate work from start to finish, supporting multiple clients and complex work. 

The Estate Administration Paralegal will deal with a diverse group of important external callers and visitors (financial advisors, tax representatives, beneficiaries, etc.) as well as internal contacts at all levels of the organization. The paralegal will work under moderate supervision with latitude for the use of initiative and independent judgment.

Requirements:

  • Minimum of 5years' experience as paralegal specifically supporting Estate Administration attorneys
    • experience within tri-state area (TN, GA, AL) preferred
  • Bachelor's degree in business management or related field preferred. 
  • Ability to solve practical problems and deawith a variety of situations without oversight.
  • Strong organizational, project management and multi-tasking abilities.
  • Proactive problem solving skills
  • Uphold a strict level of confidentiality.

Essential Functions:

  • Document Preparation
    • Drafting and preparing various legal documents, related to court supervised estate administration.
    • Ensuring the accuracy and completeness of documents in compliance with state and federal laws.
    • Produce documents from verbal and written instructions, dictation, notes, rough draftsor other materials.
    • Draft written responses or replies and responds to regularly occurring requests for information.
  • Client Communication
    • Communicating with clients to gather necessary information for estate administration.
    • Providing updates on the status of administration and addressing client inquiries.
    • Organizes and prioritizes large volumes of information and calls.
      • Supporting 20 clients at a time
  • Research & Analysis
    • Conducting legal research on relevant laws and regulations related to estate administration.
  • Record Keeping
    • Maintaining organized and accurate records of client files.
    • Managing deadlines and ensuring timely filing of legal documents.
  • Coordination with Attorneys
    • Collaborating with attorneys to review and revise estate administration documents as needed.
    • Coordinating meetings between attorneys and clients to discuss estate administration matters.
  • Probate Assistance
    • Assisting with probate proceedings, including the preparation of probate documents and court filings.
    • Coordinating communication between the attorney and relevant parties during the probate process.
  • Compliance and Ethics
    • Ensuring compliance with ethical standards and confidentiality in handling sensitive client information.
    • Staying up-to-date on changes in laws and regulations affecting estate administration.
  • Administrative Support
    • Providing general administrative support to attorneys, such as scheduling appointments and managing calendars.
    • Assisting in the preparation of billing statements and tracking billable hours.

  • Technical Skills:
    • Experience with tools such as WestLaw, NetDocs, HotDocs, SurePoint (formerly Rippe), Power PDF (Kofax) preferred
    • Advanced knowledge of Microsoft Outlook, Word, Excel, and PowerPoint with proven ability to understand and use styles required; ability to understand legal procedures and terminology.

  • The employee is regularly required to talk or hear.
  • The employee is frequently required to stand, walk, bend, kneel, stoop, and crouch, using hands and fingers for detailed work.
  • The employee is occasionally required to lift office products and supplies up to 15 pounds.
