Performs highly complex administrative duties in support of the Vice President of Finance and Facilities Operations and other Vice Presidents, as needed; supports Board and Committees of the Board work; assists the Office of the President when needed.
* Provides administrative assistance, such as writing and editing emails, drafting memos and preparing communications on behalf of the Vice President of Finance and Facilities Operations office for approval.
* Supports Board Committee work for Vice Presidents.
* Answers incoming phone calls in a polite and professional manner and accurately takes and communicates messages.
* Welcomes visitors and directs them to the appropriate department.
* Performs confidential tasks relating to financial and personnel issues.
* Maintains comprehensive and accurate records, documents and prepares reports related to budgets, requisitions, procurements, equipment and supplies, leave requests, and P-card processing.
* Creates, shares, and maintains documents in shared drives.
* Organizes meetings (both in-person and virtual), including scheduling, sending reminders and organizing catering when necessary.
* Manages the Vice President's day-to-day calendar, including making appointments and prioritizing the most sensitive matters.
* Coordinates travel arrangements.
* Utilizes various software, including word processing, spreadsheets, and presentation software to prepare reports and/or special projects.
* Serves as liaison with Human Resources during hiring processes. Duties include, but are not limited to, scheduling interviews and tracking applicant process through the on-boarding or off boarding process.
* Participates as a member of the Finance and Facilities Operations Council and other unit and college committees as requested. Serves as a liaison for the Vice President to council members and other internal and external constituents. Coordinates and attends committees and meetings as requested. Develops and prepares agendas and minutes for meetings.
* Serves as an informational resource to internal and external contacts.
* Collaborate with various departments to assess space needs and manage office space utilization. Review and approve office move requests.
* Submits and monitors work orders.
* Perform duties as the college's ACH Fraud Control Administrator.
* Perform duties as the Gift In Kind Administrator.
* Performs other duties as assigned.
Associate Degree in Business Administration or related and / or five years of office management experience, prior experience in an executive support role.
Preferred Qualifications:
* Bachelor's Degree in Business Administration or related
* Budget management experience
Knowledge, Skills, Abilities, and Worker Characteristics:
* Ability to maintain confidentiality
* Knowledge of basic accounting, procurement and budgeting principles
* Knowledge of office procedures and practices
* Advanced computer skills; proficiency with Microsoft Office programs and Google Suite, and familiarity with office equipment
* Strong work ethic and ability to work independently with limited supervision
* Excellent communication skills
* Strong organization skills
* Ability to prioritize and work on several projects simultaneously
* Ability to work with individuals from diverse backgrounds
