The Opportunity

Reporting to a Social Enterprise Operations Regional Manager, the Sr. Associate, Social Enterprise Operations is responsible for providing administrative and programmatic support to Crew Works, ensuring that operations run smoothly at each work site. The role provides support to over 15 work crew sites in one of CEO’s regions daily, and collects and reports data in the CEO Salesforce system. It also assists in managing external stakeholders and assists with the recruitment and training of new supervisors.

Who We Are

The Center for Employment Opportunities (CEO) provides employment services to people recently released from incarceration. Across the United States, 8,000-9,000 people participate in CEO each year, transitioning to employment that supports themselves, their families, and their communities.

What began as a demonstration project of the Vera Institute of Justice in the 1970s to address employment barriers facing the formerly incarcerated following release in New York City has grown into the leading reentry employment organization in the country, where over 30,000 formerly incarcerated individuals have secured full-time employment since 1996.

Who You Are

  • You are committed to CEO’s mission and are interested in working in a fast ­paced, growing, results oriented nonprofit environment

The Nitty Gritty Qualifications

  • At least 3 years of related experience in fleet maintenance and administrative positions coordinating across multiple sites
  • Safety or industry certifications a plus
  • Valid driver’s license
  • Ability to lift 75 pounds
  • Ability to walk or stand for long periods of time

What You’ll Be Responsible For

Key responsibilities of the (title) include but are not limited to:

Operations Management Support

  • Provide operations and administrative support to the Social Enterprise Operations Regional Manager Site Supervisors, and Site Directors
  • Create and maintain systems that ensure the efficiency of the Crew Works operation across a CEO region
  • Ensure timely billing to Crew Works customers. Track invoices issued, returned, and paid and follow-up as needed to ensure timely payment
  • Actively monitors correct submission of daily timesheets and intervenes to correct errors

Crew Works

  • Monitor and report out on the utilization of program resources across the region (i.e. gas cards, vehicle mileage, expense reports, etc.) to ensure accuracy and strict compliance to agency and funder requirements.
  • Monitor daily crew slots and ensure at least 90% Daily Crew Staffing Rate
  • Ensure that supplies for crew operations are well-stocked and obtain replenishments as needed
  • Coordinate certifications/trainings (Safety/Asbestos, CPR, Defensive Driving, OSHA, etc. ) for Site Supervisors, ensuring that notices are provided to them in a timely manner
  • Visit crews on site as needed, and as requested by leadership
  • Assist in ensuring all crews are in compliance with CEO policies and procedures; embody ethics, integrity and CEO values of healthy workplace culture
  • Serve as the Fleet Administrator for all site vehicles and trailers; track and support Site Supervisors in coordinating vehicle maintenance (both routine and as needed)
  • Provide guidance to Site Supervisors on day-to-day vehicle and equipment challenges (i.e., flat tires, van breakdowns, wiring issues, and toilet trailer issues)
  • Ensure every Per Diem/Site Supervisor has maintenance and emergency phone numbers stored in CEO phones and in the vans
  • Coordinate with Site Supervisors and Program Delivery staff to ensure participant performance (PTS) scores are submitted timely and accurately
  • Support and coach Site Supervisors in submitting incident reports, and conduct follow up with relevant staff as needed
  • In the absence of Site Supervisors, and as assigned, acts in the capacity of a Site Supervisor (as needed, expected 10% of the time)

Team and Organization Support 

  • Serve as the initial point of contact for regional Site Supervisor questions, concerns, or issues
  • Act as point of contact for departments who play into transitional work processes and policies (Fleet Management, Scheduling, etc.)
  • Coordinate crew visits for new staff
  • Support Employee Experience and Managers in the recruitment of new Site Supervisors and coordinate onboarding of new Site Supervisors with partner teams
  • Collaborate with the Safety team to ensure trainings are completed by Site Supervisors and any safety issue areas are brought to the attention of the appropriate parties
  • Assist in evaluation of feasibility of new crew opportunities in the region
  • Assist in providing excellent customer service to crew partners by troubleshooting and resolving operational issues in a timely manner
  • Brainstorm areas for operational improvements with colleagues and assist in the implementation of new ideas
  • Create monthly and quarterly reports, including written narratives, as per funder/contract requirements
  • Support creation of documentation of crew protocols as needed

Compensation and Benefits

The salary range for this position is $50,200-56,000. CEO's compensation philosophy considers a variety of factors including experience, internal equity, and the labor market associated with the city in which the position is located. This position can be located in any of the cities in which CEO operates. The labor markets associated with the cities in which CEO is based are variable, and the salary range included here reflects this. Our salary offer will fall within this range and will be reflective of the labor market of the city in which the position is based, as well the other factors named above.
