Office Coordinator - Pain and Wound Services - (2400427)


Who You Are:

As the Office Coordinator at Catholic Medical Center (CMC), you thrive on being the liaison between the Clinical Coordinator and Direct of Pain and Wound Services to assure smooth day-to-day operations and to provide on-site coordination responding to the needs of patients and staff.

This is a fully benefitted full time position, Monday through Friday, 40 hours a week.

What You’ll Do:

Under the direct supervision of the Director of Pain and Wound Services and in concert with the Clinical coordinator in Pain, and within established policies and procedures, you will:

  • Respond to patient concerns and resolves conflicts by communicating with staff, physicians, insurers, billing office, etc. Keeps Director of Pain and Wound Services informed and involves VP Operations in conflict resolution as necessary.
  • Take patient photo on admission to department.
  • Check-in patients on admission, check-out patients at discharge.
  • In conjunction with the clinical coordinator, ensure that all interventions are scheduled appropriately and in a timely fashion.
  • Perform all professional billing by the end of the day.
  • In conjunction with the Clinical Coordinator, call all referrals to make an appointment once reviewed by APRN.
  • Put New Patient packets together and ensures they are mailed in a timely fashion.
  • Answer incoming phone calls and completes appropriate phone notes.
  • Perform all scanning and indexing of patient documentation.
  • Perform Eligibility on all patients coming to the Pain Center.
  • Print all patient demographics for upcoming week.
  • Provide training to new staff members in office procedures.
  • Assist with maintaining and monitoring provider schedules.
  • Maintain stock of health information pamphlets; provides pamphlets to patients. Directs patients to proper sources of information.
  • Perform monthly quality light checks.
  • Maintain patient confidentiality at all times.
  • Purchase general office supplies. Verifies invoice, completes check requisition, and forwards to Director of Pain and Wound Services for approval and processing to Accounts Payable.
  • Resolve office equipment maintenance issues. Consults with Director of Pain and Wound Services prior to authorizing repair expenditure.
  • In concert with the Clinical Coordinator, maintain all office manuals including but not limited to policy/procedure manual, staff meeting minutes, employee manual, and all other appropriate manuals.


What You’ll Bring:

  • A high school diploma or equivalent is required.
  • Previous experience in a healthcare setting, especially in clerical, billing, or insurance processing roles, is preferred but not required.
  • Patient service experience is highly desirable.
  • Adaptability, communication skills, attention to detail and Customer Service Excellence.
