Cathedral School for Boys is Hiring an Assistant to Head of School & Operations Support Near San Francisco, CA

Role Title: Assistant to Head of School & Operations Support
FLSA Status: Part-Time, Non-Exempt
Reports to: Head of School; dotted line reporting Operations Coordinator
Direct Reports: N/A

Role’s Main Purpose:
The Assistant to the Head of School & Operations Support — first and foremost — serves as the confidential administrative assistant to the Head of School and the Board of Trustees. Secondarily, this role supports the Front Office Operations Coordinator, being stationed at the front of the School and acting as one of the first points of contact for families and other visitors to the School.

Primary Assistant to Head of School Responsibilities:
  • Coordinate and provide administrative support for the Head of School and Board of Trustees, including but not limited to communications, agenda, and meetings
  • Plan and execute board meetings from start to finish by coordinating schedules, booking travel arrangements, building presentations, reserving meeting spaces, etc.
  • Maintain official records of the Board; attend Board meetings and prepare minutes;
  • Maintain Board and Board Committee Portal
  • Manage New Trustee Orientation
  • Maintain the Head of School’s calendar, taking requests from employees, parents, and the community
  • Event planning and support, e.g., graduation, faculty and staff events, Board meetings, dinners, parties and retreats, as needed
  • Other projects and tasks as directed by the Head of School

Operations Support Responsibilities:
  • Act as backup for the Front Office Operations Coordinator by, for example, answering phones, greeting and signing in visitors, coordinating space rentals, assisting students with questions, medical concerns, parent pick-up, as examples
  • Oversee parking; faculty and staff permits and Grace Cathedral passes
  • Maintain student operational records, including updating Blackbaud attendance and auditing and tracking health records, as examples
  • Assist coordinating vendors, e.g., lunch provider, school photographer, external lunch orders, etc.
  • Support Admissions & Development as needed; event setup, printing student files and transcripts, etc.

Compensation and Benefits:
Hourly rate $30–$45 per hour, depending on education and years of experience, with potential for additional hours beyond the part-time expectation up to and including overtime; benefits include paid sick leave, professional development opportunities, and lunch provided during the school year.

Required Qualifications, Experience, and Knowledge:
  • High School diploma or equivalent
  • Current CPR and First Aid certification (or willingness to obtain within three months of employment)
  • 5 years of experience as an Executive Assistant or equivalent
  • Google Workspace and Microsoft Office suite

Preferred Qualification, Experience, and Knowledge:
  • Bachelor’s degree
  • Experience in a school setting a plus
  • Working knowledge of Blackbaud CRM
