Job Title: Administrative Assistant - Client Office Support

Job Summary:
As an Administrative Assistant for our client's office, you will play a crucial role in providing exceptional front office administrative support, delivering top-notch client reception services, and ensuring overall smooth operation of the office.

Your professionalism, organizational skills, and friendly demeanor will contribute to maintaining a welcoming environment for both clients and colleagues.

Responsibilities:
1. Client Reception: Greet clients, visitors, and guests warmly and professionally, ensuring a positive first impression of the company.
2. Client Service: Assist clients with inquiries, provide information about the company's services, and direct them to the appropriate staff or department as needed.
3. Telephone Handling: Answer incoming calls promptly and courteously, redirecting calls or taking messages when necessary.
4. Appointment Scheduling: Coordinate and manage client appointments, meetings, and conference room bookings, ensuring efficient use of time and resources.
5. Office Organization: Maintain a tidy and organized front office area, ensuring all necessary materials, forms, and brochures are readily available.
6. Mail and Packages: Receive, sort, and distribute incoming mail, packages, and deliveries appropriately.
7. Administrative Support: Assist the office team with administrative tasks, including data entry, filing, photocopying, and scanning documents.
8. Communication: Respond to emails and other communication in a timely and professional manner, following up with relevant parties as required.
9. Office Supplies: Monitor inventory levels of office supplies, place orders when necessary, and keep track of expenses within budget constraints.
10. Office Equipment: Ensure the proper functioning and maintenance of office equipment, such as printers, copiers, and fax machines.
11. Compliance: Assist in maintaining compliance with company policies, procedures, and security protocols.
12. Client Records: Update and maintain client databases and records accurately and securely.
13. Collaborative Support: Provide assistance and support to other administrative staff members and teams as needed.

Requirements:
1. Education: High school diploma or equivalent; additional relevant certifications or courses in office administration are a plus.
2. Experience: Previous experience in an administrative assistant or front desk receptionist role is preferred but not mandatory. Willingness to learn and adapt to new tasks is essential.
3. Communication Skills: Excellent verbal and written communication skills, with the ability to interact professionally with clients and colleagues.
4. Organization: Strong organizational skills and attention to detail to manage multiple tasks efficiently.
5. Customer Service: Demonstrated customer service skills and a customer-centric approach to handle inquiries and provide assistance effectively.
6. Technology: Proficiency in using office software such as Microsoft Office Suite (Word, Excel, Outlook) and familiarity with handling office equipment.
7. Professionalism: Maintain a professional appearance and demeanor at all times.
8. Time Management: Ability to prioritize tasks and meet deadlines in a fast-paced environment.

State Notary commission preferred/willing to obtain
