Center for European Policy Analysis is Hiring an Executive Assistant to the President & CEO Near Washington, DC

Position: Executive Assistant to President and CEO 

Location: Remote or on-site, Washington DC 

Schedule: Full-time contract (temp-to-hire) 

The Center for European Policy Analysis (CEPA) is currently in search of a highly organized and detail-oriented Executive Assistant to provide dedicated scheduling and calendar management support to our President and CEO. This position plays a critical role in ensuring the effective and efficient operation of the executives’ schedule, enabling them to concentrate on strategic leadership and decision-making.

The ideal candidate will possess exceptional time management skills, the capacity to multitask, and a proactive approach to problem-solving. The successful candidate will be emotionally intelligent, discreet, collegial, engaging, reliable, and exceptionally organized. A passion and interest for transatlantic relations is preferred. The individual would report to the President and CEO and may be based in Washington, DC or remote. 

Responsibilities:

  • Maintain and manage the President and CEO’s complex calendar, ensuring all appointments, meetings, and events are accurately scheduled and prioritized;
  • Coordinate and schedule internal and external meetings, conference calls, and appointments, ensuring alignment with the executive’s priorities and availability; 
  • Serve as the primary point of contact for scheduling inquiries, both internal and external, ensuring prompt and professional responses; 
  • Proactively identify and resolve scheduling conflicts, making adjustments as needed to accommodate changing priorities and urgent requests; 
  • Assist with scheduling travel arrangements, including flights, accommodations, and transportation, ensuring all details are aligned with the executive’s schedule; 
  • Handle sensitive and confidential information with the utmost discretion and professionalism. 

Qualifications:

  • Bachelor’s degree in Business Administration, Communications, or a related field preferred; 
  • One year of relevant experience; 
  • Exceptional organizational skills and attention to detail; 
  • Ability to edit and to write quickly and clearly; 
  • Ability to multitask in a fast-paced, often changing environment; 
  • Ability to work independently and within a team across the organization; 
  • Advanced working knowledge of Microsoft Office; 
  • Demonstrated ability to manage multiple tasks in a time-sensitive environment; 
  • Ability to handle sensitive information, meet deadlines, and maintain grace under pressure; 
  • Willingness and ability to work on late evenings or weekends, as required.

  • Demonstrate discretion when working with confidential or proprietary information. 
  • Be flexible, creative, solution-oriented, and positive in approaching challenges and problems.
