Position Overview

Care Access is seeking a highly skilled and certified technician with expertise in fleet management to serve as our Fleet Manager. In this role, you will be responsible for overseeing a fleet of 100 clinical research vehicles utilized in our mobile operations. These vehicles, which include retrofitted ambulances, sprinter vans, and trailers functioning as mobile sites, support various activities such as patient enrollment, education, logistics, and operational tasks related to clinical trials.

Additionally, as part of the Fleet Manager for Delivery and Supply Chain team, you will also be a supporting member of the logistics management team. This includes spearheading various operational activities, leading cross-functional teams, managing transportation logistics for fleet and equipment, coordinating site setup and decommissioning, and ensuring operational excellence. Your focus will be on optimizing efficiency, maintaining compliance, ensuring safety standards, and driving success in our research and delivery mission.

What You'll Be Working On

Duties include but not limited to:

1.Fleet Management

1.1. Monitoring Vehicle Health: Regularly assessing the condition of fleet vehicles to identify any mechanical or performance issues that may impact their operation.

1.2. Diagnosing Vehicle Problems: Quickly and accurately diagnosing vehicle issues when they arise, whether through driver reports, routine inspections, or diagnostic tools.

1.3. Scheduling Maintenance: Developing and maintaining a comprehensive maintenance schedule to ensure that all vehicles receive timely service and repairs as needed.

1.4.Addressing Unscheduled Services: Handling unexpected maintenance needs or breakdowns promptly and efficiently to minimize downtime and maintain fleet reliability.

1.5. Collaborate with internal teams and third-party partners to oversee the installation and integration of a diverse range of equipment and systems into fleet vehicles. This includes electrification systems, workstations, GPS and camera devices, lighting systems, and other critical components. Evaluate various equipment options and configurations in coordination with internal stakeholders and third-party suppliers to customize vehicle outfitting to meet specific clinical operations requirements, taking into account protocol specifications and operational efficiency considerations.

2.Record Maintence

2.1.Oversee the generation and development of operational cost reports and analyses for the fleet.

2.2. Maintain oversight of the Care Access Fleet by developing, maintaining, and implementing Standard Operating Procedures (SOPs) relevant to fleet operations.

2.3.Updating Administrative Records: Keeping detailed and accurate records of vehicle maintenance, repairs, inspections, and other relevant information to track vehicle history and ensure compliance with regulatory requirements.

3.Strategy and Leadership:

3.1.Lead operational activities related to deployment strategy, communication planning, and workflow improvement.

3.2.Collaborate and influence cross-functional teams to ensure cohesive operations.

3.3.Focus on operational excellence through defined performance metrics and dashboards.

3.4.Build and manage a team to ensure success across research sites in the U.S. and internationally.

3.5.Direct and mentor a large team of Logistics Leads, Site Support Specialists, and Site Setup Specialists.

4.Process Management:

4.1.Manage teams and resources to meet project deadlines and operational goals.

4.2.Oversee team meetings and real-time issue resolution.

4.3.Develop and implement retention strategies and individualized talent development plans.

5.Site Coordination and Compliance:

5.1.Collaborate with Delivery Teams to execute site setup, trial implementation, maintenance, and decommission.

5.2.Partner with Patient Access and Procurement teams for successful research site establishment.

5.3.Ensure compliance with company-wide objectives and standard operating procedures.

5.4.Facilitate transition from setup to launch for clinical operational teams.

6.Training and Development:

6.1.Collaborate with Training and People Teams to execute learning plans and modules.

6.2.Execute development plans with team members through regular one on ones

Physical and Travel Requirements

·Candidates must be willing to travel up to 65% of the time nationwide. Frequency and length of travel will depend on needs.

·This role also supports field operations that involve our vehicles or other heavy equipment such as generators, space refrigeration and heavy-duty tents.

What You Bring

Knowledge, Skills, and Abilities:

·Working knowledge of federal regulations (e.g., HIPAA, GCP)

·Experience managing operational budgets.

·Ability to work independently in a fast-paced environment with minimal supervision.

·Curiosity and passion to learn, innovate, able to take thoughtful risks and get things done, friendly.

·Proficiency in performing onsite maintenance tasks, encompassing:

oOil changes

oBrake pad replacements

oHose changes

oDiagnosing and fixing/replacing batteries onsite

oConducting generator servicing

·Additional fleet repair knowledge, including but not limited to

oEngine diagnostics and repairs

oTransmission maintenance and repairs

oSuspension system repairs

oElectrical system troubleshooting and repairs

oTire maintenance and replacements

Certifications/Licenses, Education, and Experience:

·5 years of experience working with vehicle diagnostic and repair, fleet management, and personnel management.

·3 years electrical repair experience 

·ASE Certification-Required

·Fleet Safety Certification-Preferred

·Certified Supply Chain Professional (CSCP)-Preferred
